Accounting Specialist

At Owens Companies, we know that strong financial processes are the foundation of exceptional customer service and operational success. We are seeking a dependable and detail-oriented Accounting Specialist who enjoys working in a collaborative environment and takes pride in accuracy, organization, and follow-through. This role offers the opportunity to support a dynamic commercial HVAC organization while developing a broad range of accounting and administrative skills.

Core Duties and Responsibilities:

Accounts Payable:

Review all invoices for appropriate documentation and approval prior to entry into the system.

Facilitate vendor payments, including check processing, ACH and portal payments.

Process & enter PO and non-PO invoices while ensuring all additional information is inputted correctly.

Enter, reconcile, and process credit card bills, receipts & payments.

Reconcile vendor statements to ensure accuracy.

Enter new vendors into the system and maintain vendor files including W-9 and certificate of insurance, if necessary.

Process annual1099 forms for vendors.

General Accounting:

Process daily check deposit and reconcile incoming banking transactions.

Support Staff Accountant in collection efforts.

Facilitate monthly recurring HVAC maintenance contract invoices.

Process quoted billings upon job completion.

Assist with month-end, year-end closing and audit processes.

Ensure compliance with company procedures and general accounting principles.

Administrative Support:

Assist with incoming calls.

Support operations team by assisting in obtaining permits, submitting rebates and renewing city licenses.

Collaborate with other departments to resolve issues & improve processes.

Preferred Qualifications:

2+ years of accounts payable, accounting support, or bookkeeping experience preferred. Previous experience in accounts payable or related financial roles.

Knowledge and experience working in the HVAC industry a plus!

Experience with Sage Intacct, Sage 100 Contractor, Viewpoint, Foundation, BuildOps, or similar accounting/ERP systems preferred.

Strong verbal and written communication skills with the ability to interact professionally with vendors, customers, and internal team members.

Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
