Job Duties

Front Desk Operations & Student Support

  • Serve as the primary front-desk representative for the Registrar’s Office, greeting and assisting students, faculty, staff, and visitors.
  • Respond to in-person, phone, and email inquiries, providing accurate information regarding Registrar policies and processes.
  • Process walk-in requests, troubleshoot basic issues, and direct individuals to appropriate staff members when additional assistance is needed.
  • Maintain a professional, welcoming, and customer-focused front-desk environment.

Form & Transcript Processing

  • Process all Registrar’s Office forms accurately, efficiently, and in compliance with office procedures.
  • Manage transcript requests and support transcript-related services, including processing, troubleshooting, and delivery coordination.
  • Perform enrollment verifications and assist with verification-related documentation.
  • Support updates to student records as directed by higher-level staff.

Document Management

  • Complete scanning of Registrar documents and verify accurate indexing within document management systems.
  • Maintain organized physical and digital filing systems to support easy retrieval and record accuracy.
  • Assist with routine student record maintenance and office filing needs.

General Office & Project Support

  • Assist with Registrar’s Office projects, cleanup activities, audits, and process improvements as assigned.
  • Provide general administrative support including copying, form handling, task follow-up, data entry, etc.
  • Participate in cross-training to ensure operational continuity across office functions.
  • Perform additional duties to support efficient and accurate Registrar’s Office operations.

Additional Job Description

This position is on-site for the Pueblo campus and is a 20-hour a week (.50 FTE) benefits-eligible position.

Experience Only:

Two (2) years of relevant experience in an occupation related to the work assigned to this position

OR

Education and Experience:

A combination of related education and/or relevant experience in an occupation related to the work assigned equal to two (2) years

Salary

$20,124 to $27,900

Due to budget constraints, we have a constricted wage range for this position. We are only able to accept applications from persons with 25 years of service or less in the Administrative Assistant series. Individuals with related experience outside of the series are also encouraged to apply.
