Overview
The AIH Office Manager plays a critical role in enabling the efficient operation of the AIH organization by providing business, operational, and administrative support to leadership and the broader team. This role serves as a central point of coordination across stakeholders, helping to drive organizational effectiveness through strong planning, communication, and execution. The successful candidate will ensure day-to-day business activities run smoothly while supporting key initiatives, events, and leadership priorities.
Role
In this role, you will:
- Coordinate business operations and administrative activities across the AIH organization.
- Support leadership teams with meeting management, communications, reporting, and follow-up activities.
- Plan and coordinate team meetings, offsites, workshops, leadership reviews, and organizational events.
- Manage onboarding activities for new team members and support employee engagement initiatives.
- Assist with budget tracking, purchase orders, invoices, and other operational processes as required.
- Maintain organizational documentation, team communications, and distribution lists.
- Coordinate with internal stakeholders across Human Resources, Finance, Facilities, Procurement, and Technology teams.
- Track key actions and priorities to help ensure timely execution of organizational objectives.
- Identify opportunities to improve operational processes and drive efficiencies across the team.
- Serve as a trusted partner to leadership and employees by providing proactive support and problem resolution.

The ideal candidate for this position should have:
- Experience supporting senior leaders and managing business operations in a fast-paced environment.
- Strong organizational and project coordination skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities simultaneously while meeting deadlines.
- Strong stakeholder management skills and the ability to work effectively across diverse teams.
- Experience coordinating events, meetings, travel arrangements, and team activities.
- Proficiency with Microsoft 365 applications including Outlook, Teams, PowerPoint, Excel, and Word.
- Ability to handle sensitive and confidential information with discretion and professionalism.
- A proactive, solutions-oriented mindset and strong sense of ownership.
- A collaborative approach with a passion for enabling team success and operational excellence.
