As Adams Street’s marketing priorities continue to expand across both wealth and institutional audiences, the Marketing Coordinator will play an important role in supporting the execution of firmwide initiatives and cross-functional campaigns — including complex, multi-channel efforts that span content, digital, advertising, and communications.

This role will provide project coordination and operational support to help ensure Marketing deliverables and broader firm initiatives are completed with accuracy, efficiency, and consistency. Serving as a central coordinator, this individual will help facilitate collaboration across teams, improve workflow visibility, and keep projects moving forward. Their contributions will strengthen day-to-day execution, expand team capacity, and support the overall impact of marketing across the firm.

The Marketing Coordinator will support the planning, communication, and execution of marketing-led and cross-functional projects. Acting as a key point of coordination, this individual will help manage timelines, organize stakeholder input, track deliverables, and ensure projects stay on schedule and within scope. By improving executional efficiency, this role will enable senior marketers to focus more deeply on strategy, messaging, brand development, campaign design, and commercial enablement across both the wealth and institutional segments.

Responsibilities

Project Coordination & Workflow Management

Support the execution of marketing projects from initiation through completion

Coordinate campaign logistics across channels — including email, advertising, web, thought leadership, and social — ensuring that all workstreams are sequenced properly and aligned to campaign objectives

Serve as an initial point of contact for incoming marketing requests from internal teams and stakeholders

Review project requests to ensure objectives, timelines, and requirements are clearly defined

Help assign and schedule projects to balance team workload and support priority alignment

Track project timelines, deliverables, and next steps to ensure deadlines are met

Maintain organized project documentation, including campaign calendars, briefs, timelines, status updates, meeting notes, and archived deliverables

Support the coordination and management of distribution lists in Salesforce, including maintaining audience segmentation, ensuring list accuracy, and working across teams to keep contact data current and compliant

Proactively communicate project updates, key milestones, and changes to stakeholders; manage expectations and escalate risks or delays as needed

Route materials through appropriate review and approval channels, including Investment, Product Strategy, Legal/Compliance, Investor Relations, and other relevant teams

Maintain version control and review history across project materials

Coordinate recurring Marketing team meetings and support cross-functional project tracking

Process & Operations Support

Help centralize coordination for high-priority and complex marketing initiatives

Identify opportunities to improve workflows, processes, and team collaboration

Support marketing operations reporting, including project status, team capacity, and resource tracking

Liaise with external vendors, agencies, and platform partners as needed to support campaign execution and track asset delivery against deadlines

Monitor workflow performance, including project timing and recurring bottlenecks

Recommend process or tool enhancements that improve visibility, efficiency, and execution

Qualifications

Bachelor’s degree in Marketing, Communications, Business, or a related field

3–5 years of relevant experience in marketing, communications, project coordination, or a related field; financial services or professional services experience preferred

Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines

Strong written and verbal communication skills, with the ability to work effectively across a wide range of stakeholders

Proficiency with project management and collaboration tools such as Asana, Monday.com, Microsoft Teams, and SharePoint

Proficiency with Salesforce or similar CMS platform to maintain and coordinate distribution lists

Self-starter with a proactive, solutions-oriented mindset

Ability to support marketing initiatives across both wealth and institutional segments
