The Conference & Events Coordinator works collaboratively with the Conference & Events Manager and fellow Coordinator to support the daily operations of conference and event spaces, ensuring an exceptional experience for tenants, clients, and guests. This customer-focused role assists in coordinating room reservations, managing client communications, arranging catering and room setups, administering contracts, and coordinating audiovisual services to ensure meetings and events run smoothly. The position also provides support for rooftop event operations, including event logistics, client engagement, and overall event execution.

The ideal candidate has experience in hospitality, conference services, or event coordination and brings a strong customer service mindset, excellent organizational skills, and the ability to work effectively in a collaborative team environment. A proven ability to build positive relationships with clients, tenants, vendors, and colleagues is essential for success in this role.

Responsibilities:

Coordinate the scheduling and operation of conference rooms, ensuring efficient utilization and exceptional customer service.

Manager room reservations, rental agreements, and event contracts.

Serve as the primary point of contact for conference room clients, tenants, and guests.

Arrange room setups and ensure all meeting requirements are fulfilled prior to events.

Coordinate catering services, special requests, and event logistics.

Partner with audiovisual and technical support providers to ensure equipment is functioning properly and client needs are met.

Conduct pre-event planning and post-event follow-up to maintain a high-quality customer experience.

Monitor conference room readiness, cleanliness, and presentation standards.

Help facilitate a positive guest experience before, during, and after events.

Compile, review and process billings and other misc. charges

Collaborate with team members, vendors, and service providers to ensure smooth building and event operations.

Desired Competency, Experience and Skills:

Must have a minimum high school education. Associates, B.A. or B.S. college degree preferred

3+ years of experience in conference services, hospitality, event management, property management support, or a related customer-facing role.

Highly organized with strong attention to detail and ability to manage multiple priorities simultaneously.

Hospitality industry experience.

Experience managing conference centers, meeting spaces, or event venues.

Knowledge of conference room reservation systems and event management processes.

Experience coordinating catering, audiovisual services, and event logistics.

Familiarity with commercial property management environments.

This position is 100% in-office . The role requires working in office during standard business hours. Remote work or telecommuting is not an option for this position.
