Position Summary

The Contract Administrator provides administrative and coordination support for construction projects and associated contract administration requirements. This position provides oversight of contracts, project documentation, invoicing, contractor compliance, project coordination, and closeout activities throughout the project lifecycle.

The Contract Administrator ensures required documentation and approvals are maintained, invoices and payments are processed efficiently, and contractor performance, project budgets, schedules, and contractual requirements are appropriately monitored.

What you'll do:

Contract Administration Responsibilities

The Contract Administrator will be responsible for the day-to-day administration and oversight of assigned construction projects, including:

Prepare, review, and administer construction contracts, purchase orders, amendments, and related agreements.

Prepare Notices of Commencement and other required project documentation.

Prepare and process contract change notices, change orders, and amendments.

Monitor contractor performance and the status of required contractor deliverables.

Track contract values, authorizations, payments, deadlines, and outstanding items.

Maintain detailed and organized project files, including original contracts, correspondence, change orders, amendments, payment schedules, lien waivers, insurance documentation, and other project records.

Track project-related correspondence, approvals, authorizations, and commitments.

Monitor contractor insurance and ensure compliance with contractual insurance requirements.

Monitor project budgets, schedules, milestones, and deliverables.

Assist with project closeout activities and ensure required documentation is received and maintained.

Provide construction administration throughout the project lifecycle, from project initiation through completion.

Project Administration & Coordination

In addition to contract administration, the position will provide project coordination and administrative support, including:

Coordinate project activities and maintain communication among Ownership, internal teams, contractors, vendors, consultants, and other project stakeholders.

Manage the day-to-day administrative requirements of assigned projects.

Communicate relevant project information, updates, action items, and deadlines to the project team.

Track project milestones, deliverables, approvals, and outstanding items.

Identify and escalate project issues requiring attention and assist in resolving issues in a timely manner.

Maintain consistent internal and external communication throughout the project.

Assist in ensuring projects remain aligned with approved scope, budget, schedule, and Ownership expectations.

Provide direct interface with contractors, vendors, consultants, and internal/external clients.

Manage multiple projects simultaneously while maintaining organization, accuracy, and attention to detail.

Skills / Qualifications:

Experience in contract or construction administration, project coordination, and managing contracts, invoices, project documentation, and administrative records.

Strong organizational skills and attention to detail.

Ability to manage multiple projects, priorities, and deadlines.

Strong written and verbal communication skills.

Proficiency with Microsoft Office, including Word and Excel.

Ability to maintain accurate records and handle confidential and sensitive information.

Ability to work effectively with contractors, project managers, vendors, and internal staff.
