We are seeking a highly experienced and strategic Executive Assistant to provide comprehensive administrative and operational support to our executive team. This role goes beyond traditional support, serving as a trusted partner who translates complex priorities into clear action, drives alignment across stakeholders, and ensures seamless execution in a fast-paced, evolving environment.

The ideal candidate demonstrates exceptional judgment, adaptability, and communication skills, with the ability to anticipate needs, navigate ambiguity, and influence outcomes while maintaining the highest level of discretion.

What you’ll do:

Strategically manage complex calendars, meetings, and competing priorities across multiple time zones

Draft executive-level communications, briefing materials, and presentations with minimal direction

Act as a liaison between executives and internal/external stakeholders, ensuring clarity and efficiency in all interactions

Project & Event Leadership

Independently lead high-visibility administrative projects with significant executive exposure (e.g., Executive Meetings, leadership offsites)

Define scope, build project plans, and manage cross-functional dependencies from kickoff through execution and debrief

Conduct post-event reviews and implement continuous improvements

Communication & Relationship Management

Build and maintain trusted relationships with external partners, including executive offices, board member teams, and key stakeholders

Manage executive correspondence, drafting and sending communications while escalating only high-judgment items

Confidentiality & Discretion

Handle highly sensitive information (board materials, compensation discussions, strategic plans) with the utmost integrity

Establish and maintain clear protocols for managing confidential information

Model best practices and proactively address risks to confidentiality

Systems & Process Optimization

Serve as a power user for tools such as Google Workspace, Slack, Ramp, and Envoy

Identify inefficiencies and implement scalable workflow improvements (automation, templates, systems enhancements)

Evaluate and recommend tools to improve team effectiveness

Administrative Excellence

Coordinate complex travel (domestic and international), including itineraries, accommodations, and logistics

Manage expenses, reporting, and documentation with accuracy and efficiency

Support event planning, office initiatives, and executive personal logistics as needed

Conduct research and synthesize information to support executive decision-making

What you have:

Bachelor’s degree in Business Administration, Management, or related field

5+ years supporting C-suite executives in a high-performance environment

Exceptional communication, interpersonal, and stakeholder management skills

Advanced organizational and time-management capabilities with strong prioritization skills

Proven ability to operate autonomously and thrive under pressure

Demonstrated discretion and integrity in handling confidential information

Experience with project management tools (e.g., Monday.com)

Proficiency in Google Workspace and modern collaboration tools (e.g., Slack)

Experience with expense management platforms (e.g., Ramp)
