DUTIES & RESPONSIBILITIES

To deliver high quality, prompt and courteous Facility Management services in support of Client's business needs in a safe working environment.

The scope covers: housekeeping, pest control, landscaping, shuttle, mail service, GYM, event arrangement, storage management, LDO&FDO & help desk. A candidate with experience in most of above service lines are highly preferred.

· Vendor management

• •To assist client/JLL team to audit the work scope and service quality of vendors.
• •Regular review on SOW and SOPs to assess their properness and provide suggestions of enhancement
• •Assist to evaluate the contractors’ service performance.
• •Innovation and proactivity in vendor management

· Customer Service / Client Relationships

• •In charge of soft service budgeting and budget control
• •In charge of cross function communication and cooperation to ensure smooth daily operation.
• •Be responsible for coordinate all functions in soft service team
• •In charge of vendor management with sub-contractors
• •Be clearly seen as “taking lead” of soft service function, show leadership in the team
• •Keep good communication with REWS sponsors and BU clients.
• •Ensure the Key Operations Procedures are followed to ensure service standards are maintained.
• •Be innovative and devoted to continuous improvement

· Payment/ billing management

• •To oversee the Invoice/payment process of the team
• •To ensure the timing of billing and accrual
• •To assist update premise pool/general pool

allocation key on monthly basis.

· Lead the team to seek ways to constantly reduce costs and improve operational standards

· Keep good communication with the client, vendor management and host weekly meeting with Client.

· Any other duties assigned by his/her direct manager beside the core business.

5. Budget/billing management / JDE & CCR procedure

6. Daily / Quarterly customer / vendor communication

7. Daily / Quarterly vendor communication

8. Oversee the update & review of SOPs / SOWs

Requirements:

1. Over 8 years’ experience in admin or IFM soft service

2. Fluent oral and written English

3. Be skilful in Microsoft Office, especially PPT and Excel

4. Service experience in group over 500 employees are preferred.

5. Mature and skilful in communication

6. Senior, with team management experience
