Job Description Summary:

  • The Manager, General Affairs is responsible for planning, directing, and overseeing all General Affairs functions to support efficient business operations across office, warehouse, and manufacturing environments. This role manages facility operations, administrative services, vendor relationships, workplace compliance, company assets, employee services, and operational support programs.
  • The Manager, General Affairs serves as a key partner to site leadership, ensuring a safe, compliant, organized, and cost-effective workplace while driving continuous improvement initiatives that support business growth and employee engagement.

Job Description:

Essential Duties and Responsibilities

Facility & Workplace Management

  • Oversee daily facility operations, maintenance activities, repairs, and building services.
  • Ensure offices, warehouses, common areas, parking lots, and support facilities are maintained to company standards.
  • Manage workplace upgrades, renovations, expansions, and space planning projects.
  • Coordinate preventive maintenance programs and facility inspections.
  • Support environmental, health, and safety initiatives in partnership with Operations and Human Resources.

Vendor & Contract Management

  • Manage relationships with vendors, contractors, and service providers, including:
  • Janitorial Services
  • Pest Control
  • Landscaping
  • Facility Maintenance
  • Office Equipment Providers
  • Negotiate contracts, service agreements, and pricing to optimize costs and service quality.
  • Monitor vendor performance and ensure compliance with contractual obligations.
  • Review and approve invoices while maintaining budget adherence.

Administrative Operations

  • Develop and maintain administrative procedures, policies, and standard operating procedures (SOPs).
  • Ensure efficient management of office services, supplies, equipment, and company resources.
  • Oversee document retention, business records management, and administrative compliance programs.
  • Coordinate site-wide communications and workplace service initiatives.

Asset & Resource Management

  • Maintain accountability for company assets and inventories.
  • Manage employee access systems, badges, parking assignments, lockers, keys, and facility resources.
  • Ensure asset tracking systems remain accurate and up to date.
  • Oversee procurement and distribution of office and operational supplies.

Budget & Cost Control

  • Develop and manage the General Affairs operating budget.
  • Monitor expenditures and identify cost-saving opportunities.
  • Prepare budget forecasts and monthly spending analyses.
  • Ensure appropriate financial controls are maintained for all General Affairs activities.

Employee Support & Corporate Services

  • Support employee programs, recognition events, engagement activities, and company functions.
  • Coordinate logistics for meetings, leadership visits, community events, and company celebrations.
  • Assist with onboarding and offboarding activities related to workplace access and facility services.
  • Provide responsive customer service to employees regarding facility and administrative matters.

Compliance & Risk Management

  • Ensure compliance with company policies, safety requirements, and applicable regulatory standards.
  • Manage facility-related audits and inspections.
  • Maintain emergency preparedness plans and coordinate facility response procedures.
  • Partner with HR and Operations on workplace investigations involving facility or property concerns.

Leadership & Continuous Improvement

  • Lead and develop General Affairs staff and administrative support personnel.
  • Establish departmental goals, KPIs, and performance standards.
  • Identify opportunities to improve efficiency, reduce costs, and enhance employee experience.
  • Drive continuous improvement initiatives supporting operational excellence.

Supervisory Responsibilities

  • Directly supervises General Affairs personnel, administrative staff, reception services, and other assigned employees.
  • Carries out supervisory responsibilities in accordance with company policies and applicable laws.
  • Responsibilities include hiring recommendations, training, coaching, performance management, scheduling, and disciplinary actions when appropriate.

Required Qualifications

Education

  • Bachelor's Degree in Business Administration, Management, Facilities Management, Human Resources, or a related field preferred.
  • Equivalent combination of education and experience may be considered.

Experience

  • 5+ years of General Affairs, Facilities Management, Administration, or related experience.
  • 2+ years of supervisory or management experience.
  • Experience supporting manufacturing, distribution, warehouse, or industrial environments preferred.
  • Experience managing vendors, contracts, facilities, and administrative budgets required.

Knowledge, Skills, and Abilities

  • Strong leadership and people management skills.
  • Excellent organizational and project management abilities.
  • Strong negotiation and vendor management experience.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Knowledge of facility management practices and workplace compliance requirements.
  • Strong budgeting, forecasting, and cost control capabilities.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite and ERP systems.
  • Experience with Workday or similar HRIS systems preferred.

Physical Requirements

  • Ability to walk throughout office, warehouse, and manufacturing areas.
  • Ability to occasionally lift up to 25 pounds.
  • Ability to conduct facility inspections and vendor oversight activities.

Work Environment

  • Combination of office, warehouse, and manufacturing environments.
  • Exposure to varying temperatures, equipment operation areas, and active production settings.
  • Occasional evenings or weekends may be required to support projects, emergencies, or company events.

The anticipated compensation range is

69,000.00 - 137,000.00 USD Annual Actual compensation will be determined based on various factors including qualifications, education, experience, and location. The pay range is subject to change at any time dependent on a variety of internal and external factors.
