Job Description Summary

As an Junior Business Administration Specialist at GE Medical Systems (Schweiz) AG, you will provide essential administrative and operational support to various departments, ensuring the smooth and efficient functioning of daily activities. This role requires strong organizational skills, attention to detail, and a proactive approach to problem-solving.

This role is fix-term for 24 months with a high likeliness to be converted in a permanent role afterwards.

Job Description

Job Responsibilities:

  • You take care of a variety of administrative tasks, including managing correspondence, coordinating schedules, and supporting the creation of presentations.
  • You maintain and organize both physical and electronic filing systems, ensuring documents are accurate, easy to access, and up to date.
  • You support data entry, record management, and report creation using company systems and software.
  • You coordinate travel arrangements for team members and assist with expense reporting.
  • You keep track of office supplies, place orders when needed, and ensure everything is readily available for the team.
  • You support internal communication activities by drafting announcements and helping distribute important information.
  • You serve as a go-to contact for internal and external inquiries, connecting people with the right colleagues and resources.
  • You assist with planning and coordinating internal meetings, workshops, and employee events.
  • You collaborate closely with other administrative professionals to ensure smooth and consistent support across teams and departments.
  • You follow company policies, procedures, and compliance requirements in everything you do.

Your profile:

  • You have completed a commercial apprenticeship (EFZ/KV), a comparable vocational qualification, or bring an equivalent educational background. Additional administrative training or certifications are a plus
  • You bring proven experience in an administrative support role, ideally within an international or corporate environment
  • You are confident using Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
  • You communicate clearly and professionally in English, both written and spoken. German language skills are a strong advantage, and additional Swiss national languages are welcome
  • You have excellent organizational and time management skills and know how to prioritize effectively in a dynamic environment
  • You work with a high level of accuracy and pay close attention to detail
  • You are comfortable working independently while also collaborating closely with colleagues across different teams
  • You take a proactive and flexible approach to your work and enjoy providing exceptional support to internal and external stakeholders.
  • You handle sensitive and confidential information with professionalism, discretion, and integrity
