Summary

The Lab Coordinator is responsible for supporting the day-to-day operations, scheduling, and coordination of Nortek Data Center Cooling's testing facility in Oklahoma City. This role serves as a key liaison between engineering teams, laboratory personnel, facilities resources, contractors, and external vendors to ensure testing activities are executed safely, efficiently, and in alignment with project priorities.

The Lab Coordinator supports laboratory readiness, scheduling, equipment maintenance tracking, contractor coordination, shipping and receiving activities, documentation management, and overall operational support of testing programs. This position works closely with engineering and laboratory teams to help ensure facility resources, equipment, materials, and support services are available to enable successful execution of laboratory testing activities.

This role is ideal for an organized, detail-oriented professional who enjoys coordinating multiple priorities in a fast-paced technical environment.

Job Responsibilities

Laboratory Operations & Facility Coordination

  • Coordinate daily laboratory operations and support readiness of test areas, support systems, and laboratory infrastructure
  • Assist with facility maintenance activities and repairs to minimize disruption to testing operations
  • Maintain laboratory organization, housekeeping standards, and storage areas
  • Support laboratory improvement projects, equipment installations, and facility upgrades
  • Serve as a point of contact for facility-related issues and operational support requests

Laboratory Scheduling & Resource Coordination

  • Maintain and update the laboratory master schedule
  • Coordinate testing priorities with engineering, product development, service, and program teams
  • Assist with balancing laboratory capacity, equipment availability, and project timelines
  • Communicate scheduling updates, resource constraints, and potential conflicts to stakeholders
  • Support test setup coordination and resource allocation activities

Project & Event Coordination

  • Coordinate laboratory activities related to customer visits, demonstrations, audits, and validation testing programs
  • Assist in tracking project milestones and laboratory support activities
  • Help ensure stakeholders are informed regarding test schedules, equipment readiness, and facility requirements
  • Track action items and support completion of operational tasks tied to laboratory objectives

Contractor & Vendor Coordination

  • Coordinate contractor activities related to maintenance, calibration, facility improvements, and equipment installations
  • Assist with obtaining quotations, scheduling work, and tracking project progress
  • Ensure contractor activities comply with facility safety requirements and operational procedures
  • Interface with equipment suppliers, calibration providers, and service partners as needed

Equipment Maintenance & Calibration Support

  • Maintain equipment maintenance schedules and calibration records
  • Coordinate preventive maintenance activities and service visits
  • Track equipment availability, downtime, and service status
  • Work with engineering and laboratory personnel to support equipment repair and upgrade efforts
  • Assist with laboratory asset tracking and inventory management

Shipping, Receiving & Material Coordination

  • Coordinate shipment and receipt of test samples, components, and laboratory equipment
  • Support incoming and outgoing freight activities
  • Maintain documentation, tracking records, and storage of laboratory materials
  • Assist with logistics coordination for customer and supplier-provided equipment

Documentation & Process Support

  • Maintain laboratory procedures, work instructions, forms, and records
  • Support document control and audit-readiness activities
  • Assist in tracking laboratory metrics including utilization, equipment availability, and operational performance
  • Participate in continuous improvement initiatives and process enhancement efforts

Safety & Compliance

  • Promote a strong culture of safety within laboratory operations
  • Support safety inspections, corrective action activities, and facility audits
  • Assist with hazard assessments and laboratory compliance initiatives
  • Help ensure laboratory operations align with company, regulatory, and quality requirements

Qualifications

Required

  • Associate degree or equivalent experience in engineering technology, technical operations, facilities coordination, project coordination, or a related field
  • Experience working in a laboratory, manufacturing, engineering, testing, or technical environment
  • Strong organizational, scheduling, and coordination skills
  • Ability to manage multiple priorities and deadlines simultaneously
  • Strong communication and interpersonal skills
  • Proficiency with Microsoft Office Suite and business systems
  • Ability to work independently and proactively solve problems

Preferred

  • Experience supporting laboratory or technical facility operations
  • Experience coordinating contractors, vendors, or maintenance activities
  • Familiarity with equipment maintenance and calibration programs
  • Experience in HVAC, thermal testing, product development, manufacturing, or engineering environments
  • Knowledge of quality systems, documentation practices, and audit requirements
  • Experience supporting facility improvement projects or equipment installations
