Position / Job Summary
Responsible for managing day‐to‐day operations of the legal organization, including administrative and support services to the legal team. The position works independently in a highly organized manner with reasonable supervision.
Essential Duties & Responsibilities
- Provide administrative support to legal staff and enhances office effectiveness.
- Provide response to requests for governmental records within the time period mandated by the Texas Public Information Act and other state statutes.
- Coordinate the gathering of the requested information within all divisions of the College and disseminates requests to appropriate departments.
- Receive and review all requests for information and makes initial determination as to which requests require an opinion from the Office of the Attorney General, coordinating these requests with the Public Information Officer.
- Redact or reviews redaction in confidential records before releasing documents to the public.
- Calculate/assess charges for Open Records in accordance with the Texas Public Information Act.
- Manage and tracks records requests.
- Maintain and update the College’s Public Information procedures.
- Serve as point of contact with department liaisons and conducts training on open records processes.
- Compose, edit and type correspondence, memoranda, reports, and other documents using various word and data processing software requiring knowledge of rules of grammar and practices of document preparation.
- Must have excellent interpersonal, presentation, oral and written communication skills in order to interact effectively with diverse, multi‐cultural individuals within the DCCCD community network, i.e., staff, faculty, outside legal counsel, media, and other individuals within the general public, etc.
- Required Dallas College Professional Development Hours per Academic Year. (MUST BE INCLUDED)
- All employees are required to complete a minimum of 19 hours.
- People leaders are required an additional 16 hours of leadership development.

The following duties are required for People Leader roles specifically:
- Exercises full discretion and decision-making authority in the recruitment, selection, hiring, mentoring, coaching, development & termination of staff, ensuring alignment with organizational goals, budgetary constraints, and workforce planning strategies.
- Drive high performance by administering the performance management process timely, setting clear expectations, conducting performance evaluations, and implementing initiatives that enhance employee engagement, motivation, and retention.
Minimum and Preferred – Education, Experience, and/or Certifications
Required Qualifications for Role (necessary or mandatory)
- Associate degree plus three (3) years of law office experience, i.e., legal secretary, legal assistant or paralegal.

Knowledge, Skills, and Abilities
Required Qualifications for Role (necessary or mandatory)
- Proven working experience as a legal assistant, legal secretary or paralegal.
- Familiarity with law, legal procedures and protocols, and the court system.
- Excellent reasoning skills and judgment; knowledge of business administration and advanced secretarial practices and procedures.
- Knowledge of computers and related equipment, hardware, and software applicable to assigned duties,
- Ability to independently prioritize, track, and manage multiple projects, assignments, and duties to comply with statutory and court-ordered deadlines with strong attention to detail.
- Skill in entering, retrieving, copying, tracking and storing department records, files and reports.
- Skill in preparing, editing, and developing responses to politically sensitive or confidential correspondence.
- Knowledge of customer service practices and procedures.
- Knowledge of College policies and procedures.
- Must possess high ethical standards and the ability to maintain confidentiality of legal records and documents.
- Ability to balance conflicting priorities in order to manage workflow, ensure the completion of essential projects and meet critical deadlines.
- Ability to establish and maintain effective working relationships with diverse constituents and stakeholders, internal/external, to the organization.
- Ability to support legal team and participate in inter-office meetings, requiring regular, predictable in-person presence to enable coordination of departmental work.
- Intellectually agile in response to challenges of internal and external environments.
- Must be able to provide excellent customer service.
