About the Role

As a Mail Processing Associate II , you will play a critical role in supporting the daily management of physical and electronic securities correspondence, mail distribution, document processing, and workflow execution. You will oversee the accurate receipt, sorting, scanning, tracking, and delivery of incoming and outgoing mail while ensuring time-sensitive items are processed efficiently and in accordance with operational controls. This role partners with internal teams to maintain document integrity, support client and business needs, and drive operational excellence through accuracy, service quality, and continuous process improvement. Success is measured through timely processing, workflow efficiency, risk mitigation, and adherence to established procedures.

Daily in-office schedule Monday through Friday 10am – 6pm

What You Will Be Doing

  • Oversee the daily receipt, sorting, distribution, and delivery of incoming and outgoing mail, securities-related documents, and correspondence.
  • Process and scan physical documents into electronic workflow systems, ensuring accuracy, completeness, and timely routing.
  • Monitor document queues and workstreams to ensure service level commitments and processing deadlines are met.
  • Investigate and resolve exceptions, misrouted documents, missing items, and workflow discrepancies.
  • Maintain accurate records, tracking logs, and document repositories to support operational controls and audit requirements.
  • Coordinate with internal stakeholders to ensure prompt handling of time-sensitive client and business communications.
  • Perform quality reviews and validations to ensure document integrity and compliance with established procedures.
  • Support operational workflows by prioritizing, organizing, and distributing work across multiple processing channels.
  • Identify opportunities to improve mailroom operations, document management processes, and workflow efficiency.
  • Adhere to regulatory, security, and records-management requirements while handling confidential financial information.

Required Qualifications

  • Experience supporting mailroom operations, document processing, workflow administration, operations support or related back-office environments.
  • Strong organizational skills with the ability to manage high-volume workloads and competing priorities.
  • Demonstrated attention to detail and commitment to accuracy when handling sensitive documents and information.
  • Ability to identify, investigate, and resolve processing exceptions and operational issues.
  • Experience using document imaging, scanning, workflow management, or records management systems.
  • Strong communication and collaboration skills with the ability to work effectively across teams.
  • Proficiency with Microsoft Office applications and business processing systems.
  • Bachelor’s degree in business or a related field, or equivalent combination of education and practical experience.

Preferred Qualifications

  • Experience in financial services, securities operations, banking operations, or regulated business environments.
  • Knowledge of document retention, records management, and operational control practices.
  • Familiarity with workflow automation, process improvement, or continuous improvement methodologies.
  • Experience handling time-sensitive client correspondence and operational service requests.
