Reporting Specialist

About the Positions

We’re seeking Reporting Specialists of various skill levels to support large, complex heavy civil infrastructure programs, including highways, roads, bridges, transit (bus and rail), aviation (international airports), and water/wastewater projects delivered through both traditional and alternative delivery methods. These roles produce the recurring reporting a program publishes, the monthly, quarterly, and annual packages that reach program leadership, funding agencies, and oversight bodies, along with the input collection, verification, and version control standing behind every figure in them. You’ll run the reporting cycle and get a defensible package out on the date it was promised. Prepare the recurring monthly, quarterly, and annual reporting packages the program publishes, assembling progress, cost, schedule, change, and milestone content into the program’s approved format.

May lead the reporting cycle from data cutoff through review and distribution, tracking who owes what and chasing late or missing inputs so the publication date holds.

Collect reporting inputs from project teams, consultants, and contractors, and verify each figure and status statement against the source records held in the program’s PMIS, cost, and schedule systems.

Review contractor and consultant reporting submissions for completeness and conformance with the reporting requirements in their contracts, and return submissions that do not meet the standard.

Reconcile differences between what a contractor reports, what the PMIS holds, and what program records show, and escalate what cannot be settled before publication.

Develop the exhibits behind the reporting, including milestone and progress charts, dashboard extracts, maps, and photo logs, and confirm each one matches the data it was drawn from.

Apply the program’s reporting templates, data definitions, and format standards across projects and contracts so figures carry the same meaning at the program level.

Maintain reporting trackers, logs, distribution lists, and the repositories where published reporting and its backup live, under version control, so any published figure can be traced back to its source.

Coordinate with cost, schedule, change management, risk, quality, and document control teams to settle conflicting figures before they reach leadership.

Assemble the documentation supporting funding, grant, and oversight agency reporting, researching project records, correspondence, and submittal and change logs to close the gaps.

Prepare ad hoc status summaries and briefing materials for program leadership and project staff across all contract packages.

Minimum Qualifications

Bachelor’s degree in construction management, engineering, business administration, or public administration, or related field, or equivalent combination of education and experience.

5+ years of program or project reporting experience for large (>$500M), complex, heavy-civil infrastructure projects.

Experience producing recurring reporting deliverables on a fixed cycle, including assembling content from multiple contributors and meeting a published distribution date.

Experience verifying reported figures and status against source records, and resolving discrepancies with the team or organization that submitted them.

Working knowledge of program controls and construction management reporting content, including progress, cost, schedule, and change status, and where each of those figures originates.

Experience with industry standard program reporting and document management software (e.g., Kahua, Unifier, e-Builder, SharePoint, ProjectWise, etc.).

Proficiency with Microsoft Office Suite/Office 365 (e.g., Outlook, Teams, Word, PowerPoint, etc.).

Preferred Qualifications

Master’s degree in construction management, engineering, business administration, or public administration.

Active professional certifications such as CCM (CMAA), and/or PMP or CAPM (PMI).

Experience serving as the lead producer of a program’s recurring reporting package on a program exceeding $1B in construction value.

Experience producing board, committee, or oversight body reporting deliverables on a publicly funded capital program.

Experience assembling federal or state grant reporting, funding drawdown packages, or external audit responses, including the documentation trail behind them.

Experience consolidating reporting across a portfolio of concurrent projects and contracts into a single program-level package.

Experience developing reporting templates, data definitions, or format standards that other teams then produced reporting to.

Proficiency with Microsoft Power BI, Oracle Cloud Analytics, or other dashboard KPI reporting software.

Compensation Details

Expected Salary: $80k-$145k/year ($38-$70/hour). Luster provides the salary range that the company in good faith believes it might offer for this position based on the successful candidate’s level and years of experience, knowledge, skills, abilities, education, certifications, licenses, geographic location, etc. Luster reserves the right to ultimately pay more or less than the posted range depending on circumstances not related to any status protected by local, state, and/or federal law.
