Whisper is looking for a Team Assistant to support our Sport and Commercial teams, someone who makes the team faster, more organised and who anticipates needs instead of reacting to them.

This role sits at the center of both teams. You move quickly, work accurately, and juggle multiple tasks without missing a beat. Polished materials, tight logistics, nothing dropped, you're the reason the small stuff never becomes a big problem.

Key Responsibilities:

Diary and time management

Protect time, not just schedule it by managing calendars strategically

Scheduling client and partner meetings across time zones

Coordinating team meetings and off sites

Prioritising and protecting time for high-value work

Reporting & information flow

Be a connector across the teams and business, by keeping people informed and spotting where communication is breaking down before it becomes a problem.

Pulling together pipeline updates, sales trackers, or deal status reports

Formatting materials for leadership or board reporting

Keeping shared trackers and CRM data accurate and current

Commercial-specific support

Prepping materials for client pitches and proposals

Coordinating input from other teams (legal, finance, production) on deals

Supporting contract admin, sending, chasing signatures, filing

Travel and expenses

Booking travel for client meetings and events

Processing expenses and reconciling cards

Brand & Culture

Acting as a brand ambassador, championing Whisper's brand governance and strategy in everything you do

Ensuring all materials follow brand guidelines and creating templates and centralised filing

Championing equality and diversity in the team, and following Health and Safety policy

Skills and Experience:

Excellent organisational and time management skills

Experience working in a pressurised environment

Strong IT skills across a range of software packages

Ability to prioritise and work under pressure

Ability to build strong relationships across a diverse team

A proactive attitude that lifts the team's work ethic

Strong oral and written communication skills

Able to work on own initiative

Sharp attention to detail

Flexible and adaptable to changing workloads and new systems

Comfortable adopting new technologies, including AI

Trustworthy and discreet, this role handles confidential and sensitive information

Location

Kew, London

Working Days:

5 day week, x4 days in office and x1 day WFH.

Schedule may vary based on production requirement.

Lieu days will be given for any days worked over a five-day week

Start:

ASAP on a permanent contract
