Join Novartis as a Travel and Expense Specialist, where you’ll help ensure expense reports and corporate card activities are processed accurately, efficiently, and in line with policy and financial controls. Working with colleagues across finance and the wider business, you’ll resolve complex queries, support T&E systems, and contribute to improvements that simplify processes and strengthen service delivery. Job Description

Key Responsibilities

  • Review and validate employee expense reports, ensuring accuracy and compliance with T&E policies and financial controls.
  • Manage employee queries and service tickets, providing clear guidance on expense processes, policies, and corporate card requirements.
  • Administer corporate credit card activities and resolve complex T&E cases or escalations.
  • Perform T&E-related month-end close activities, reconciliations, variance analysis, and financial reporting.
  • Execute key T&E controls, identify potential risks or control weaknesses, and maintain documentation for internal and external audits.
  • Provide first-level support for SAP, Concur, and related expense-management systems, ensuring data accuracy and supporting system testing or enhancements.
  • Collaborate with regional and global stakeholders to improve, automate, and standardize T&E processes and service delivery.

Essential Requirements

  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
  • Relevant hands-on experience in Travel & Expense operations, finance operations, or Procure-to-Pay processes, including reviewing and validating employee expense reports, supporting corporate credit card processes, and resolving user queries.
  • Practical knowledge of T&E policies, financial controls, compliance requirements, and audit documentation, with the ability to identify and escalate risks or control weaknesses.
  • Experience performing T&E-related reconciliations, variance analysis, financial reporting, and month-end close activities, supported by strong analytical, problem-solving, and attention-to-detail skills.
  • Practical experience using SAP and Concur, or comparable ERP and expense-management systems, with the ability to provide first-level support and maintain accurate financial data; strong proficiency in Microsoft Excel.
  • Advanced English, with strong written and verbal communication skills and the ability to work autonomously, take ownership of complex cases, and collaborate across finance, procurement, audit, and system-support teams.

Desirable Requirements

  • Experience with AppZen or similar automated expense-audit tools, including system enhancements, user acceptance testing, implementation support, and participation in regional or global T&E initiatives focused on automation, standardization, process optimization, or service improvement.
  • Experience managing travel and business entertainment expenses in a regional or shared-services environment, supporting internal or external audits, and acting as a subject-matter expert, mentor, or escalation point for T&E processes or systems.
