About this role

BlackRock is seeking an organized, collaborative, and motivated Administrative Professional to support the BlackRock Capital Markets (BCM) team within the BlackRock Global Markets (BGM) group in New York. This role provides day-to-day administrative and operational support while offering opportunities to build business knowledge, strengthen administrative capabilities, and take on broader responsibilities over time.

Key Responsibilities:

Coordinate calendars, meetings, and video conferences across global time zones; monitor changes, communicate updates, and escalate complex scheduling decisions when appropriate

Coordinate logistics for internal and external meetings, team events, strategy sessions, conferences, and social events, including rooms, virtual meeting details, catering, supplies, and guest registration

Gather and organize agendas, presentations, contact information, and other materials to support meeting preparation and timely distribution

Follow up on routine administrative action items and communicate changes to timelines or requirements

Coordinate domestic and international travel, including flights, hotels, ground transportation, visas, documentation, meeting locations, and detailed itineraries

Process travel and entertainment expenses and Gifts and Entertainment records accurately and on time using Concur and applicable systems; maintain supporting documentation and seek guidance on exceptions

Serve as a professional point of contact for visitors and guests, coordinating with security, reception, technology teams, and other internal partners as needed

Assist with onboarding and offboarding logistics, including technology, access, materials, and other administrative requirements

Provide backup coverage for other Administrative Professionals and support continuity during absences

Use Microsoft Outlook, Word, Excel, PowerPoint, Teams, and other collaboration tools to prepare and maintain routine documents, presentations, reports, trackers, and meeting materials

Store information in appropriate shared locations, use internal systems consistently, and remain current on required processes, training, and technology

Respond to requests in a professional, timely, and concise manner and build positive working relationships across different roles, working styles, and levels of seniority

Use established procedures and appropriate internal contacts to resolve routine issues, escalating non-routine, sensitive, or higher risk matters as needed

As business knowledge develops, provide increasingly thoughtful and proactive support, share relevant updates, and suggest practical improvements to coordination or administrative delivery

Handle confidential and sensitive information with discretion and in accordance with applicable requirements

Core Skills:

Strong organization, time management, attention to detail, and follow-through

Ability to manage multiple assignments, meet deadlines, and adapt to changing priorities

Effective verbal, written, and interpersonal communication skills

Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, Teams, and related collaboration tools

Comfort using automated expense, travel, and information-management systems

Ability to learn and apply administrative policies, procedures, and established processes

Sound judgment in routine situations, with willingness to seek guidance on more complex matters

Professionalism, discretion, collaboration, and a growth mindset

Ability to work independently on established responsibilities while partnering with others when needed

You have:

Previous professional, corporate, administrative, coordination, or executive-support experience

Experience managing calendars, meetings, travel, expenses, or related administrative activities in a fast-paced environment

Experience working with leaders, teams, clients, or external contacts

Experience using Microsoft Office and collaboration tools; experience with Concur or a similar system is preferred

Experience in financial services or another complex corporate environment is helpful but not required

  • Bachelor's degree or equivalent relevant experience
  • Interest in building knowledge of team priorities, strengthening judgment, and taking on broader responsibilities with appropriate support and guidance


For New York, NY Only the salary range for this position is USD$71,250.00 - USD$135,000.00 which is the equivalent of USD$34.25 - USD$64.90 per hour. Additionally, employees are eligible for an annual discretionary bonus, and benefits including healthcare, leave benefits, and retirement benefits. BlackRock operates a pay-for-performance compensation philosophy and your total compensation may vary based on role, location, and firm, department and individual performance.
