Job Overview
Marketech International Corporation USA is seeking a highly organized, detail-oriented, and service-focused Business Coordinator to provide administrative, operational, and project-coordination support within semiconductor, engineering, construction, and high-tech project environments.
This role is responsible for coordinating daily business activities, maintaining accurate documentation, preparing reports and presentations, tracking project deliverables, supporting procurement and financial processes, and facilitating communication between internal departments, customers, vendors, subcontractors, and project teams.
The Business Coordinator will work closely with Project Management, Engineering, Procurement, Finance, Logistics, Human Resources, Construction, and Operations to support efficient business operations and successful project execution.
The ideal candidate has strong organizational and communication skills, the ability to manage multiple priorities, and experience supporting administrative, operational, or project-related functions in a fast-paced professional environment.
Key Responsibilities
Business Operations & Administrative Support
Coordinate daily administrative, operational, and business-support activities across multiple departments and project teams.
Support project managers, department leaders, and company leadership with scheduling, meeting coordination, reporting, document preparation, and administrative follow-up.
Prepare professional business correspondence, presentations, reports, spreadsheets, meeting agendas, and meeting minutes.
Maintain accurate electronic and physical records, databases, project files, trackers, contact lists, and document-management systems.
Respond to internal and external inquiries in a timely, accurate, and professional manner.
Coordinate customer meetings, internal meetings, training sessions, company events, and other business activities as required.
Assist with travel arrangements, itineraries, lodging, transportation, and related documentation.
Support employee onboarding activities, training coordination, access requests, workplace setup, and other operational-support functions.
Handle confidential company, employee, customer, vendor, and project information with professionalism and discretion.
Project Coordination & Tracking
Support project teams with scheduling, documentation, reporting, meeting coordination, and business-process administration.
Track project deliverables, deadlines, milestones, open items, assignments, and action items.
Follow up with responsible departments and team members to confirm completion of assigned tasks and required documentation.
Maintain project trackers, status reports, submission logs, action-item logs, communication records, and other project-control documents.
Assist with coordinating project meetings and distributing agendas, minutes, decisions, assignments, and follow-up items.
Support the preparation, formatting, organization, and submission of project documents for internal review, customer review, or management reporting.
Coordinate the collection of information from multiple departments to ensure reports and project records are complete and accurate.
Identify missing information, delayed responses, incomplete documentation, and potential scheduling concerns and escalate issues appropriately.
Assist project teams during construction, commissioning, facility expansion, equipment installation, maintenance, and other semiconductor-related project activities.
Procurement, Vendor & Financial Support
Assist with purchase requisitions, purchase orders, vendor onboarding, quotation requests, and procurement-related documentation.
Communicate with vendors and subcontractors regarding quotations, pricing, lead times, delivery status, required documentation, and outstanding requests.
Support the collection, review, organization, and tracking of vendor quotations, invoices, purchase documentation, and supporting records.
Assist with invoice processing and coordinate with Procurement, Finance, Project Management, and vendors to resolve missing or inaccurate information.
Support budget tracking, expense reporting, reimbursement requests, cost documentation, and financial recordkeeping.
Maintain organized records of purchases, vendor agreements, quotations, invoices, receipts, approvals, and related business correspondence.
Track pending approvals, purchasing requests, vendor responses, delivery requirements, and outstanding documentation.
Assist with reconciling business and project records to ensure documentation is complete, accurate, and properly authorized.
Document Control & Reporting
Maintain organized project files, business records, shared drives, databases, and document-control systems.
Ensure documents are properly named, formatted, filed, distributed, and retained according to company and project requirements.
Prepare routine operational reports, project status updates, departmental summaries, dashboards, and leadership presentations.
Collect, organize, and verify information from multiple sources for use in reports, spreadsheets, trackers, and presentations.
Track document revisions, approvals, submissions, expiration dates, and outstanding documentation.
Review business documents for accuracy, formatting, completeness, and consistency before distribution or submission.
Support document routing, approval, signature, filing, and record-retention processes.
Maintain confidentiality and follow company requirements for handling sensitive business, employee, financial, customer, and project information.
Cross-Functional Coordination & Communication
Partner with Project Management, Engineering, Procurement, Finance, Logistics, Human Resources, Construction, and Operations to support business and project objectives.
Facilitate communication between departments to ensure project, operational, and administrative information remains accurate and up to date.
Coordinate cross-functional meetings and support follow-up on decisions, assignments, deadlines, and action items.
Serve as a communication resource between internal teams, customers, vendors, subcontractors, and other project stakeholders.
Support leadership by preparing operational reports and tracking departmental goals, priorities, schedules, and performance indicators.
Build positive working relationships with customers, vendors, subcontractors, employees, and internal stakeholders.
Communicate professionally and clearly through email, telephone, virtual meetings, and in-person interactions.
Assist with resolving administrative, scheduling, documentation, vendor, and operational issues in a timely and solution-oriented manner.
Process Improvement & Team Support
Identify opportunities to improve administrative processes, document organization, communication, reporting, and operational efficiency.
Assist with developing and updating business procedures, templates, trackers, checklists, forms, and work instructions.
Support the standardization of administrative, reporting, and documentation processes across departments.
Monitor recurring administrative or operational issues and recommend practical process improvements.
