Job Description

This job is responsible for supporting the Operations Enablement Executive and leadership team through the coordination and delivery of business management activities, executive routines, organizational governance, financial management, communications, business performance reporting, and administrative support. The role leads forward-looking planning and scheduling, manages complex calendars and meeting logistics, coordinates agendas and materials, tracks deadlines and dependencies, and ensures timely follow-up on commitments and action items. Key responsibilities also include coordinating organizational priorities, overseeing reporting and governance processes, monitoring business performance, and supporting execution of strategic initiatives. Job expectations include facilitating executive decision-making, ensuring operational discipline, driving organizational connectivity, and partnering across support functions to achieve business objectives.

Responsibilities

  • Serves as the primary business management partner to the Operations Enablement Executive and leadership team, coordinating key priorities, deliverables, and organizational routines.
  • Leads planning and execution of executive leadership meetings, business reviews, operating reviews, town halls, leadership forums, and related communications.
  • Owns forward-looking planning and scheduling for the Operations Enablement Executive and leadership team, including prioritizing key meetings, sequencing deliverables, managing calendar dependencies, and coordinating timelines across stakeholders to support timely execution.
  • Provides day-to-day administrative support, including calendar management, meeting logistics, agenda and materials preparation, travel coordination, expense processing, records maintenance, and follow-up on commitments and action items.
  • Coordinates organizational governance routines, ensuring timely completion of action items, executive deliverables, regulatory commitments, and business priorities.
  • Develops and maintains executive presentations, dashboards, scorecards, and reporting that support business reviews and leadership decision-making.
  • Manages organizational financial activities, including budget planning, forecasting, expense management, headcount tracking, resource planning, and vendor oversight.
  • Partners with Risk, Audit, Compliance, Human Resources, Finance, and other support organizations to ensure adherence to enterprise policies, controls, and governance requirements.
  • Supports organizational communications and engagement efforts, including leadership communications, recognition programs, employee engagement activities, and organizational events.
  • Coordinates business continuity planning, inspection readiness activities, audit support routines, and organizational preparedness efforts.
  • Monitors organizational performance metrics and reporting to identify trends, risks, and opportunities requiring leadership attention.
  • Facilitates coordination across Market Operations, Business Controls, Risk, Technology, Human Resources, Finance, and other enterprise partners to support successful execution of organizational priorities.
  • Supports implementation of strategic initiatives, business process improvements, and change management efforts impacting the Operations Enablement organization.
  • Manages special projects, executive requests, and ad hoc assignments on behalf of leadership.

Required Qualifications

  • 5+ years of experience in business management, operations, governance, program management, executive support, or a related field.
  • Experience supporting senior leaders and leadership teams within a large, complex organization.
  • Experience coordinating executive routines, organizational planning activities, business reviews, and leadership reporting.
  • Experience managing complex planning calendars, scheduling leadership routines, coordinating dependencies, and adjusting timelines as priorities change.
  • Experience managing budgets, forecasts, expenses, headcount reporting, and resource planning activities.
  • Experience developing executive presentations, reporting, dashboards, metrics, and business performance reporting.
  • Experience supporting governance, risk management, audit, compliance, and operational control processes.
  • Demonstrated ability to build strong partnerships and influence stakeholders across multiple lines of business and support functions.
  • Strong analytical, organizational, and problem-solving skills with the ability to synthesize information and provide actionable insights.
  • Strong written and verbal communication skills, including experience preparing executive-level communications and presentations.
  • Ability to manage multiple priorities and deliver results in a fast-paced, highly regulated environment.
