Client Support Specialist

We are seeking a dependable, empathetic, and detail-oriented Client Support Specialist to serve as the vital first point of contact for our clients.
As a Client Support Specialist , you will represent the voice and standard of our firm. You will handle inbound calls, manage the client communication inbox, guide clients through initial discovery questionnaires, and maintain meticulous case files and records within our firm databases.
The ideal candidate possesses exceptional phone presence, sharp attention to detail, strict commitment to confidentiality, and the multitasking agility to enter data accurately while conversing with clients in real time.
Key Responsibilities of our Client Support Specialists
Client Communication & Relationship Management
- Serve as the primary point of contact for incoming inquiries via phone, email inbox, and SMS.
- Build strong rapport with clients by providing prompt, accurate, and empathetic assistance.
- Actively listen to identify client needs, clarify information, research inquiries, and resolve concerns using sound independent judgment within company guidelines.
- Promptly answer inbound calls and manage call queues to ensure minimal hold times.
Client Onboarding & Intake Support
- Guide clients through completing discovery questionnaires and intake forms over the phone.
- Verify, update, and maintain critical client records (contact info, emergency contacts, authorized parties).
- Maintain strict confidentiality regarding all sensitive client and business information.
Administrative & Data Management
- Log, update, and track all client communications and activity notes in internal databases/Litify.
- Manage scheduling, calendar coordination, and follow-up communications.
- Maintain organized electronic files and records in compliance with firm standards.
Qualifications of our Personal Injury Intake Specialist
- Education : High School Diploma or GED equivalent.
- Experience : 1–3+ years of experience in customer support, client services, or large call center environments.
- Technical Skills : Proficiency with Microsoft Office (Outlook, Word, Excel) and modern CRM/database systems.
- Typing & Multitasking : Fast, accurate typing skills with demonstrated ability to navigate systems and enter data simultaneously while speaking with clients.
- Communication : Exceptional written and verbal communication skills, including strong command of spelling, grammar, and professional phone etiquette.
- Core Strengths : High attention to detail, strong time-management skills, sound problem-solving abilities, and an eagerness to thrive in a fast-paced, deadline-driven setting.
Preferred Skills
- Associate degree or higher.
- Prior experience in a professional services or legal/financial services firm.
- Experience handling discovery forms, onboarding workflows, or sensitive personal data.
