Summary

Edelweiss Lodge and Resort, located in the Bavarian Alps, serves U.S. service members, veterans, and their families. This developmental Conference Coordinator position receives training and supervision while supporting group and conference planning, bookings, rooming lists, guest services, contracts, budgeting, and event execution. Coordinates with internal departments and external partners to ensure successful events and guest satisfaction.

Duties

DESCRIPTION OF MAJOR DUTIES AND RESPONSIBILITIES: In a developmental capacity, receives training and close supervision in the performance of duties and responsibilities as set forth in the position guide for Conference Coordinator, NF-1101-3, PD #4116. Gradually assumes more responsibility and learns to perform the full scope of the duties required of the position. Completes a prescribed agenda of formal/informal training and self-development as set forth in the Individual Development Plan (IDP). Works under close supervision of the Sales & Conference Manager. Assists in developing, recommending, and enforcing operating procedures. Makes recommendations concerning services, promotion activities, and revenue improvements. Assists in the processing of group and conference rooming lists. Primarily responsible for assisting in the preparation of the pre-conference/meeting/banquet bookings, execution, and follow-up, as well as the coordination of these activities with other concerned departments, as well as external sources and contractors during all phases of the group and/or conference. Functions span all groups to include guest services, sales, service quotes, facilitation of contractual agreements and program budgeting and execution. Incumbent works closely with the Banquet & Catering Manager, providing feed-back on conference customer satisfaction or dissatisfaction and recommending possible corrective actions. Assists in the evaluation of financial statements, reviewing costs against revenues, advising supervisor of status and recommending improvements. Represents the activity to the public. Assists in ensuring the adherence to all the Internal Control items related to the conference activities. Assists in the maintenance of the conference, lobby and guest areas. Performs other duties as assigned

Qualifications

RESUMES MUST BE TWO PAGES (OR LESS). QUALIFICATIONS MUST BE CLEARLY VERIFIABLE IN YOUR RESUME. GOVERNMENT POSITIONS MUST INCLUDE PAY PLAN, SERIES, GRADE, TO AND FROM DATES, AND GOVERNMENT AGENCY/DEPARTMENT. Must include at least one year of experience performing duties at a level which equipped the applicant with the particular knowledge, skills, and abilities needed to perform successfully in the position. QUALIFICATION REQUIREMENTS: Applicant must have one year of post-high school experience in the hospitality industry or one year of post-high school education. Applicant must have twelve months of post-high school education; or one year of post-high school experience in customer service or directly related experience, which has demonstrated: Effective verbal or written communication Neatness and good grooming Courtesy and tact Ability to work under pressure Dependability Ability to work independently Specifically, the incumbent in the developmental position will be promoted to the target grade upon a proficiency assessment performed after 6 months to validate that all pertinent OPERA skills necessary to perform as a coordinator are demonstrated. OPERA skills to be assessed will be: creation of a BEO, reservations, entering a rooming list, understanding rate codes, understanding routing elements, room drops, deposits, and billing. Must be able to obtain and maintain a valid driver's license. All Qualified applicants will be rated against the highly qualifying criteria by a rating panel for evaluation of the quality and extent of your total accomplishments, experience and education. Those applicants determined to be highly qualified will be referred to the hiring official for consideration. The highly qualified candidates may undergo an interview and reference checks. Education

High School graduate or equivalent. All candidates (to include current employees) are required to include transcripts with their application package. Failure to do so may result in an ineligible rating. Only education from accredited and pre-accredited institutions will be accepted.
