About the Role

The Executive Assistant plays a critical support role on Scale to Win's Executive Team. This position reports to the Chief of Staff and provides dedicated calendar, scheduling, email, and task-tracking support to executive leadership.

On a day-to-day basis, this person focuses on managing executive calendars, coordinating scheduling across internal and external stakeholders, supporting email correspondence, and tracking tasks and follow-ups to keep executive leadership organized and on top of priorities. This is a part-time role at 20 hours per week.

Core Responsibilities

Manage complex, shifting calendars for executive leadership, including scheduling meetings and placing calendar holds

Send and manage email meeting invites on behalf of executives

Coordinate scheduling logistics across internal and external stakeholders, resolving conflicts as they arise

Monitor and support executive email correspondence, flagging priority items and drafting responses as needed

Track tasks, deliverables, and follow-ups on behalf of executives, ensuring nothing falls through the cracks

Maintain task lists and project boards to keep executive priorities organized and visible

Provide fast, reliable turnaround on scheduling and communication requests throughout the workday

Skills & Qualifications

Experience as an Executive Assistant or in a similar support role, ideally supporting senior executives

Extensive experience with Google Suite (Gmail, Calendar, Docs, Sheets, Slides)

Extensive experience with messaging platforms such as Slack

Preferred: experience with task/project tracking platforms such as Asana, Monday, or Trello

Incredibly responsive, with the ability to turn around scheduling and communication requests quickly

Strong calendar management and scheduling skills, with comfort managing multiple executives' schedules simultaneously

Excellent written and verbal communication skills

High degree of discretion and professionalism when handling sensitive or confidential information

Strong organizational skills and attention to detail

Ability to work independently, prioritize effectively, and adapt to shifting priorities

Ability to maintain a consistent, reliable schedule (see below)

Schedule

This role is 20 hours per week (4 hours per day, 5 days a week, from 12:00 PM and 4:00 PM EST). Because this role manages calendars and scheduling, having reliable, predictable daily coverage during these core afternoon hours ensures seamless continuity for the executives you will support.
