The Human Resources Manager is responsible for supporting and coordinating the firm’s human resources functions, including recruiting and hiring, onboarding and offboarding, employee relations, benefits administration, performance management, personnel records, and HR compliance. The HR Manager works closely with the Chief Operating Officer and firm leadership to support employees and attorneys and to ensure HR practices are administered consistently and effectively.

This position requires sound judgment, discretion, strong interpersonal and organizational skills, and the ability to independently manage day-to-day HR matters while recognizing when issues should be elevated to firm leadership.

This is a full-time, in-office position, Monday through Friday, 8:00 a.m. to 5:00 p.m.

Essential Functions and Responsibilities

Recruiting and Hiring

Coordinate recruiting for staff and attorney positions, including job postings, candidate sourcing, applicant tracking, and communication with candidates and recruiters

Review resumes and conduct or participate in initial candidate interviews

Coordinate interview schedules with attorneys and staff and ensure a professional and consistent candidate experience

Assist with preparation of offer letters and other hiring documentation

Coordinate background checks, reference checks, and other pre-employment requirements

Maintain relationships with recruiters and other recruiting resources

Coordinate associate and summer associate recruiting activities

Oversee administrative aspects of the firm’s summer associate program, including onboarding, scheduling, evaluations, events, and offer-related processes

Onboarding and Offboarding

Coordinate the onboarding process for new employees and attorneys, including required documentation, benefits information, orientation schedules, and communication with appropriate departments

Conduct HR orientation for new employees

Coordinate employee departures, including separation documentation, benefits information, final payroll coordination, return of firm property, and internal notifications

Maintain onboarding and offboarding procedures and checklists and identify opportunities to improve the employee experience

Employee Relations and Performance Management

Serve as an accessible HR resource for employees regarding workplace questions, policies, benefits, and other employment-related matters

Support employee relations and performance issues

Assist with preparing performance documentation, coaching plans, disciplinary communications, and other employee-related documentation

Coordinate performance review processes and maintain related records

Conduct periodic employee check-ins and help identify workplace concerns, engagement issues, and retention risks

Support firm leadership in developing approaches to employee engagement, retention, professional development, and workplace culture

Benefits and Leave Administration

Coordinate employee enrollment and changes for health insurance, retirement plans, and other firm benefits

Serve as a primary contact for employees regarding benefits questions

Coordinate employee leave requests and related documentation, including applicable Oregon leave programs

Maintain accurate records regarding employee leave and benefits

Assist with annual benefits renewal and open enrollment processes

HR Administration and Compliance

Maintain and update employee information in the firm’s HRIS and related systems.

Coordinate required employment documentation and notices

Assist with maintaining compliance with applicable federal, state, and local employment requirements.

Monitor HR practices and recommend updates when laws, regulations, or firm practices change

Assist with drafting, reviewing, and updating HR policies, procedures, forms, and employee communications

Maintain the employee handbook and coordinate periodic updates

Track employment-related deadlines and required documentation

Compensation and Payroll Support

Coordinate employee compensation changes and communicate approved changes to payroll

Assist with compensation and market research annually

Review employee information affecting payroll and benefits for accuracy

Support primary payroll personnel

Training and Employee Development

Coordinate firm training and professional development programs for staff

Assist managers in identifying training and development needs

Coordinate required workplace training and maintain appropriate records

Support employee development and internal advancement opportunities

HR Processes and Firm Support

Develop and maintain effective HR processes, templates, checklists, and tracking systems

Identify opportunities to improve or streamline HR procedures

Prepare HR reports and information for firm leadership as requested

Assist with employee events, recognition and other firm initiative

Work collaboratively with administrative staff and firm leadership on projects affecting employees and firm operations

Perform other HR and administrative duties as assigned

Qualifications

Approximately 5+ years of progressively responsible human resources experience

Experience independently managing multiple HR functions in a professional services

Law firm or other professional services experience preferred

Working knowledge of employment practices and HR compliance requirements

Experience with recruiting, employee relations, benefits administration, leave administration, and performance management

Strong written and verbal communication skills

Excellent organizational skills and attention to detail

Demonstrated ability to exercise discretion and sound judgment when handling confidential and sensitive information

Strong interpersonal skills and ability to work effectively with employees and professionals at all levels of the organization

Ability to prioritize competing responsibilities and independently follow matters through to completion

Proficiency with Microsoft Office and experience working with HRIS and related HR technology
