Order Management Specialist | Remote, USA

This position will be fully remote and can be hired anywhere in the continental U.S.

Optiv + ClearShark is seeking an entry-level/junior Order Management Specialist to support the accurate and compliant processing of sales orders across our federal and commercial cybersecurity business. Reporting to the Senior Director of Sales Operations, this position is responsible for reviewing, quality-assuring (QA), and activating sales orders, coordinating with internal sales teams to resolve order discrepancies, and tracking order fulfillment through to delivery. How you’ll make an impact

• •Review and validate incoming sales orders against customer purchase orders (POs), OEM/Distributor cost quotes, and applicable contract terms and conditions.
• •Ensure orders comply with relevant FAR/DFARS clauses and contract-specific requirements prior to activation.
• •Perform quality assurance checks to confirm pricing, part numbers, quantities, and contract references are accurate and complete before releasing orders.
• •Activate validated sales orders in accordance with established sales operations procedures.
• •Partner with the Sales and Inside Sales teams to identify, research, and reconcile order discrepancies, including pricing mismatches, quote variances, and incomplete PO documentation.
• •Serve as a point of contact for order-related questions, escalating complex issues to the Senior Director of Sales Operations as needed.
• •Fulfillment Tracking and Delivery Documentation
• •After a PO is submitted to the Distributor/OEM, track order fulfillment status to ensure timely and complete delivery.
• •Ensure customers receive required documentation, including proof of delivery/shipment, license keys, and other deliverables.
• •Upload and maintain proof of delivery (POD) and related documentation in the Salesforce (SF) repository, ensuring records are accurate, complete, and audit-ready.
• •Work with the Sales Operations Team to ensure Standard Operating Procedures (SOPs) and order management processes remain current, streamlined, and consistently followed.
• •Recommend improvements to enhance order accuracy, cycle time, and compliance.
• •This position may require after-hours support during peak business periods, including end of month, end of quarter, and federal fiscal year end (FFYE), to ensure timely order processing and fulfillment.

What we’re looking for

• •High School Diploma or Equivalent Experience
• •0-2 years of experience in order management, sales operations, procurement, contract administration, or a related field.
• •Strong attention to detail and a commitment to accuracy and data integrity.
• •Ability to work collaboratively across sales, operations, and finance teams.
• •Strong written and verbal communication skills.
• •Proficiency with Microsoft Office (Excel, Outlook, Word).
• •Exposure to or basic understanding of FAR/DFARS and federal contract terms and conditions.
• •Experience with Salesforce (SF) or a comparable CRM/order management system.
• •Familiarity with OEM/Distributor quoting and procurement processes within the IT or cybersecurity reseller environment.
• •Interest in growing a career in sales operations or contract management.
