Under the supervision of the OHCM Deputy Director, the Program & Marketing Logistics Coordinator manages scheduling and logistics for Learning & Engagement programs while coordinating marketing for OHCM exhibitions, programs, and other initiatives. The position serves as the central resource for Learning & Engagement calendars, program logistics, promotional content, and communications. The coordinator works closely with OHCM departments, external partners, and the agency Communications Division to ensure programs and initiatives are effectively organized, communicated, and promoted in alignment with OHS standards and priorities.

  • Manage scheduling and logistics for Learning & Engagement programs, including field trips, teacher workshops, outreach, tours, and public programs, plus assist in scheduling for exhibitions, openings, gallery programs, and museum-wide events as needed.
  • Serve as primary contact for Learning and Engagement scheduling inquiries; maintain accurate program calendars, schedules, and records, and coordinate details with educators, presenters, staff, schools, and external partners.
  • Communicate confirmations, updates, and logistical changes to staff and participants; identify and resolve scheduling conflicts with relevant departments.
  • Assist with reports, data collection, and institutional documentation related to program scheduling.
  • Coordinate marketing logistics for OHCM exhibitions, Learning & Engagement programs, events, and other museum initiatives, from planning through distribution.
  • Gather program/exhibition information, images, and content from museum departments; develop promotional timelines, materials, and digital content (email, newsletters, flyers, calendar listings, social media, website) in coordination with the agency Communications Division.
  • Support promotional campaigns and messaging for exhibit openings, public events, and museum-wide initiatives; coordinate outreach with schools, community organizations, and tourism partners.
  • Serve as liaison between departments on marketing and promotional needs; track activities and evaluate outreach effectiveness.
  • Provide responsive customer service to staff, educators, teachers, visitors, volunteers, and community partners.
  • Perform other duties as assigned.

Qualifications

  • Bachelor’s degree in marketing, communications, public relations, museum studies, business administration, education, event management, or a related field; or an equivalent combination of education and experience.
  • Experience in marketing, communications, program or event coordination, museum operations, education, or nonprofit organizations preferred.
  • Strong written and verbal communication skills with excellent organizational skills and attention to detail.
  • Demonstrated ability to coordinate schedules, logistics, communications, and multiple projects or deadlines simultaneously.
  • Experience developing promotional materials, coordinating communications, or supporting marketing initiatives.
  • Proficiency with Microsoft Office Suite; experience with website content management, email marketing, social media, or graphic design software preferred.
  • Ability to collaborate across departments and with external partners; interest in museums, history, education, exhibitions, and public engagement. Availability to work occasional evenings and weekends as needed.
