An exciting opportunity exists for an experienced Senior Trust Administrator to join the firm. Reporting to the Senior Trust Officer, the Senior Trust Administrator will provide experienced administrative support in the day-to-day servicing of trusts and related structures, ensuring matters are handled accurately, efficiently and in accordance with established procedures and deadlines.

Key Responsibilities

Provide senior-level administrative support in the day-to-day administration of trusts and related structures.

Process routine trust and corporate transactions in accordance with established procedures and authorised instructions.

Prepare client correspondence, resolutions, minutes and other trust-related documentation for review and approval as required.

Maintain accurate and complete trust, corporate and client records, including statutory registers and supporting documentation.

Coordinate meetings and assist with the preparation of agendas, supporting papers, draft minutes and follow-up action items.

Assist with the opening, maintenance and administration of bank and investment accounts.

Liaise with clients, banks, investment managers, professional advisors and other service providers on routine administrative matters.

Monitor outstanding matters and follow up with relevant parties to ensure administrative requirements are completed within agreed timeframes.

Assist with the collection, review and maintenance of client due diligence and other compliance documentation.

Support the completion of routine regulatory and statutory filings and related administrative requirements.

Ensure transactions, correspondence and supporting documentation are accurately recorded and appropriately filed.

Assist Trust Officers with the preparation and coordination of more complex trust administration matters.

Identify administrative issues or unusual matters and refer these promptly to the appropriate Trust Officer.

Provide guidance and assistance to more junior administrative staff where required.

Contribute to maintaining efficient administrative processes and high standards of client service across the team.

Provide support on special projects and other trust administration matters as assigned.

Key Requirements

Bachelor’s degree in a relevant discipline together with at least five years of experience in trust and/or corporate administration, banking, investment or a related professional services environment.

Strong practical experience in the day-to-day administration of trusts and related structures.

STEP qualification, or progress towards a relevant STEP designation, would be advantageous.

Good working knowledge of trust administration practices and applicable Bermuda regulatory requirements.

Familiarity with AML/ATF, client due diligence and related compliance requirements.

Excellent written and verbal communication skills with the ability to prepare clear and accurate correspondence and documentation.

Strong organisational and time-management skills, with the ability to manage multiple priorities and deadlines.

High level of accuracy and attention to detail.

Demonstrated discretion and sound judgement when handling confidential and sensitive client information.

Ability to work independently within established procedures and authority levels while recognising when matters should be escalated.

Strong interpersonal skills and the ability to work effectively as part of a small professional team.

Proficiency in Microsoft Office applications including Outlook, Word and Excel. Experience with trust or entity administration software would be an asset.
