Summary

The Smithsonian Institution is the world's largest museum, education, and research complex, with 21 museums and the National Zoo. This position is located in Office of Facilities Management and Reliability (OFMR), Under Secretary for Finance and Administration at the Smithsonian Institution (SI). Central Administrative Team, Museum Support Service Division (MSSD).

Duties

The Supervisory Administrative Officer is responsible for directing the administrative staff assignments and upholding operational standards. In this position, you will: Support the formulation, execution, and monitoring of federal and trust budgets by providing analytical, technical, and administrative expertise across all phases of the budget cycle. Provide procurement support as a purchaser, ensuring all acquisition actions remain within established authority and comply with Smithsonian policies. Serve as the primary liaison with the OHR and FM Personnel Management Division, coordinating personnel actions and addressing staffing needs. Exercise supervisory responsibility over assigned staff, including planning and organizing work to be accomplished, setting and adjusting short-term priorities, and preparing schedules for timely completion. Conduct research on administrative and operational issues, evaluate policy implications, and prepare well supported recommendations within established guidelines. Provide guidance on both technical and administrative matters. Prepare high-quality correspondence, briefing materials, decision papers, and status reports for senior leadership, ensuring materials are accurate, timely, and aligned with organizational priorities.

Qualifications

Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-11 level in the Federal Service. For this position, specialized experience is defined as providing administrative duties essential to the operation of a central office, administrative and financial oversight, tracking and overseeing budgets including the reconciliation of obligations and expenditures, maintaining accountability records for funds control using automated systems; leading and dispersing work to others; performs administrative and/or program support work, such as planning, research, analysis, writing correspondence control, communications and/or liaison. Time-in-Grade Requirements: Under competitive merit promotion procedures, any individual who is currently holding, or who has held within the previous 52 weeks, a General Schedule position under a non-temporary appointment in the competitive or excepted service, must meet "time-in-grade" requirements (have served 52 weeks at the next lower grade of the grade for which you are applying).
