Administrative Lead: Clinical Development Business Operations
Role Summary
This Administrative Lead position is an innovative, AI-enabled role supporting the Cambridge-based Inflammation & Immunology Clinical Development Leadership Team. Reporting to the VP, Head of Clinical Excellence & Innovation, this individual serves as a dedicated executive administration, operations, and business support partner for Clinical Development leadership.
The role provides direct support to the VP, Head of Clinical Excellence & Innovation and all Cambridge-based Therapeutic Area Heads while also supporting broader Clinical Development organizational priorities. Responsibilities include executive administration, calendar and meeting management, travel coordination, expense administration, communications, project coordination, vendor and contract administration, business operations support, and workflow optimization.
Leveraging AI-enabled productivity tools, workflow automation platforms, analytics technologies, and modern business systems, the role streamlines routine administrative activities while creating capacity for broader contributions across leadership operations, communications, project execution, organizational effectiveness, and continuous improvement initiatives.
What You Will Achieve
In this role, you will:
Executive Administration, Leadership Support & Team Coordination (30%)
- Manage complex calendars and scheduling priorities across Clinical Development leadership.
- Coordinate executive and leadership meetings, agendas, materials, logistics, action tracking, and follow-up.
- Support travel planning, itinerary development, and expense administration.
- Prepare briefing materials, presentations, reports, and leadership updates.
- Facilitate onboarding, team coordination, and workflow management.
- Leverage AI-enabled tools to improve meeting preparation and administrative efficiency.
Business Operations & Project Coordination (25%)
- Support operational initiatives, project plans, milestone tracking, and leadership priorities.
- Develop and maintain dashboards, business metrics, and reporting processes.
- Monitor deliverables, identify risks, and facilitate stakeholder follow-up.
- Coordinate onboarding and offboarding activities.
- Drive special projects, transformation initiatives, and organizational priorities.
Budget, Vendor, Contract & Business Administration (15%)
- Support departmental budget tracking and expenditure monitoring.
- Coordinate purchase requests, invoices, vendor engagements, and contract administration.
- Maintain consulting agreements, vendor records, and operational documentation.
- Partner with Finance, Procurement, and Business Operations to support contracts, renewals, and payment processes.
- Support consultant and contractor onboarding and coordination.
Communications, Content & Knowledge Management (15%)
- Draft leadership messaging, presentations, town hall materials, newsletters, and stakeholder communications.
- Develop executive-ready briefing materials and organizational updates.
- Maintain SharePoint sites, Teams channels, and knowledge repositories.
- Support leadership communications and organizational awareness across Clinical Development.
AI-Enabled Productivity & Workflow Improvement (15%)
- Serve as an AI champion supporting adoption of productivity tools and automation capabilities.
- Identify administrative and operational activities that can be streamlined through AI.
- Partner with Pfizer Digital and enterprise AI teams to support adoption of emerging technologies.
- Share best practices that improve efficiency and effectiveness across leadership support activities.
Organizational Relationships
- This position reports directly to the VP, Head of Clinical Excellence & Innovation, I&I Clinical Development.
- The role serves as a dedicated executive administration, operations, and business support partner supporting the VP, Head of Clinical Excellence & Innovation and all Cambridge-based Therapeutic Area Heads within I&I Clinical Development.
- The position works closely with Clinical Scientists, Clinical Development leaders, Clinical Excellence & Innovation colleagues, and other members of the I&I Clinical Development organization.
- The role partners extensively across Pfizer, including R&D Finance, People Experience (PX), Pfizer Digital, Business Operations, Procurement, Legal, Compliance, external vendors, consultants, and service providers.
- The role also works closely with Administrative Leads and business support colleagues across Pfizer sites to maintain a collaborative support network that enables backup coverage, workload sharing, business continuity, and overflow support as needed.
Here Is What You Need (Minimum Requirements)
- High School Diploma or GED with at least 6 years of admin experienc e
- Experience supporting executive administration, business operations, project coordination, or clinical development activities.
- Strong Microsoft 365 proficiency including Copilot, Outlook, PowerPoint, Teams, SharePoint, and AI-enabled productivity tools (Claude. Gemini)
- Strong organizational, communication, and project coordination skills.
- Ability to manage confidential information with discretion and integrity.
Bonus Points If You Have (Preferred Requirements)
- Bachelor's degree in Life Sciences, Business, Operations, Healthcare Administration, or a related discipline
- Knowledge of the pharmaceutical industry and healthcare environment
- Proactive approach to work and the ability to initiate follow-up actions

The salary for this position ranges from $29.83 to $49.72 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company’s policies.
