Summary:
The Contract Administrator supports Ovation Healthcare's Strategic Procurement & Optimization team by coordinating the administration, maintenance, and organization of supplier agreements and contract-related systems. This role is responsible for administrative activities throughout the contract lifecycle, including routing and execution, maintaining contract repositories, renewal tracking, contract amendments, supplier onboarding support, and ensuring contract documentation remains organized, accessible, and current.
The Contract Administrator supports a portfolio of contracts and works closely with internal stakeholders to ensure contract data integrity, compliance with organizational standards, and timely execution of contractual activities. This role requires exceptional attention to detail, strong organizational skills, and experience working within contract management and document repository platforms.
Duties and Responsibilities:
Coordinate the routing, approval, execution, and filing of supplier agreements, amendments, renewals, and related contractual documents.
Monitor contract expiration dates, renewal timelines, and required actions and proactively communicate upcoming deadlines to appropriate stakeholders.
Maintain and administer contract repositories, documentation management platforms, and related tracking systems.
Support implementation activities associated with newly executed agreements, including supplier onboarding and coordination of required documentation.
Support contract termination, amendment, and renewal processes in accordance with organizational policies.
Ensure contract records, metadata, exhibits, pricing schedules, and supporting documentation are complete, accurate, accessible, and current throughout the contract lifecycle.
Develop and maintain standardized document management practices and filing conventions.
Perform routine audits of contract files to ensure accuracy, completeness, and compliance.
Support system enhancements and process improvements related to contract management technologies.
Assist internal stakeholders with locating contract documents, pricing schedules, participation forms, and other agreement information.
Coordinate communications related to contract updates, renewals, amendments, and agreement launches.
Track supplier obligations, reporting requirements, and other contractual commitments.
Support compliance reviews, audits, and governance initiatives.
Monitor contract administration KPIs, contract dashboards, status reports, and operational metrics, including execution timelines, renewal pipelines, and repository accuracy.
Escalate contract risks, discrepancies, or missing documentation as appropriate.
Knowledge, Skills, & Abilities:
Demonstrated organizational, project coordination, and document management skills.
Strong written and verbal communication skills.
Ability to manage multiple priorities while maintaining a high level of accuracy and attention to detail.
Work Experience, Education, and Certifications:
Bachelor’s degree in business administration, Healthcare Administration, Supply Chain, Legal Studies, or related field required.
Two (2) or more years of experience in contract administration, procurement, legal operations, supplier management, or a related function.
Experience in healthcare, supply chain, procurement, GPO, or contract management environments preferred.
Experience maintaining contract repositories or document management systems; familiarity with CLM platforms such as Ironclad, Salesforce CRM, or Microsoft SharePoint preferred.
Familiarity with contract terminology, supplier onboarding, contract compliance, or contract governance practices preferred.
