Data Management Analyst

As a Data Management Analyst , you will be responsible for monitoring, tracking, and ensuring the timely receipt and high operational quality of required client data files across live accounts. You will oversee automated tracking reports to identify missing or failed file transmissions, troubleshoot connection and formatting errors, perform data validation/mapping, and conduct direct outreach to client representatives. Additionally, you will execute data application testing and collaborate with internal operations teams, to maintain data freshness, accuracy, and overarching platform integrity.

What You’ll Do

• •File Monitoring, Tracking & Outreach: Conduct daily tracking of system-generated reports to identify late, missing, or incomplete payroll data files across assigned client accounts. Maintain direct written and verbal contact with client representatives to request missing files and confirm transmission schedules.
• •Data Validation & Error Troubleshooting: Review transmission error logs, client setups, and incoming client payroll files for data discrepancies, formatting errors, or unmapped fields. Identify root causes (e.g., SFTP connection drops, file naming issues) and execute standard corrections per established SOPs.
• •Application & Data Testing: Perform data application testing and User Acceptance Testing (UAT) to verify file transformation rules, platform updates, and software patch releases.
• •Issue Tracking & Stakeholder Reporting: Document, track, and update file delivery statuses, client contacts, and error trends within internal CRM and reporting databases. Communicate metrics and operational insights to cross-functional stakeholders.
• •Escalation Support: Assist in researching complex data queries, resolving escalated file errors, and serving as an operational backup for team leads on critical client issues.
• •Cross-Functional Collaboration & Documentation: Partner closely with internal operations teams to resolve transmission blockers and update operational documentation/workflows.

What You Need

• •Education & Experience: Bachelor's degree (or equivalent) in Business Administration, Information Systems, Systems Engineering, Industrial Engineering, or a related field; or 1 to 3 years of experience in back-office operations, tracking, technical support, or data auditing within a Shared Service Center (SSC).
• •Language Proficiency: Advanced English proficiency (B2 level required) with strong professional verbal and written communication skills.
• •Technical & Analytics: Proficiency in Microsoft Excel (data sorting, filtering, VLOOKUPs, Pivot Tables, logical formulas) and Google Workspace. Comfort navigating web portals, ticketing systems, and flat/structured file formats (CSV, flat files, XML).
• •Detail & Time Management: High precision in identifying data anomalies combined with strong organizational skills to manage daily task queues under strict SLA deadlines.

What Could Set You Apart

• •Basic understanding of file transfer protocols (SFTP, FTP), automated data transmission, and data mapping/transformation concepts.
• •Prior experience supporting US payroll processing, HRIS platforms (e.g., ADP, Workday, SAP), or high-volume workforce data operations.
• •Experience executing testing scripts/UAT or using issue-tracking tools such as Salesforce, ServiceNow, or Jira.
