Job Description
This is a high-impact opportunity for an experienced executive administrative professional to support the Vice President, Global Supply Chain in a fast-paced, global corporate environment. The VP, Global Supply Chain leads Agilent’s global Supply Chain organization and is accountable for enabling reliable customer delivery, effective planning and execution, inventory and working capital performance, procurement and supplier execution, logistics, and continuous improvement across the global network. The role partners extensively across businesses, functions, and geographies to advance Agilent’s Supply Chain strategy and enterprise priorities.
The Executive Assistant to the VP, Global Supply Chain serves as a trusted partner and central point of coordination for a complex global organization. This role manages advanced, confidential, and diversified activities requiring strong business judgment, executive presence, organizational knowledge, and the ability to anticipate needs, solve problems, and operate independently with minimal direction.
This role will be located at Agilent’s office in Wilmington, Delaware . Given the global scope of the organization, the position requires flexibility to support leaders, meetings, and priorities across multiple regions and time zones, with occasional travel or additional on-site presence for leadership meetings, executive reviews, and special events.
Responsibilities include:
- Proactively manages complex executive calendars and schedules across global time zones, including high-priority meetings, recurring leadership meetings, business and performance reviews, and cross-functional executive engagements. Anticipates conflicts, evaluates priorities, and applies sound judgment to ensure effective use of the VP’s time. Actively protects appropriate focus and personal time and helps manage the overall sustainability of a demanding global executive schedule, including thoughtful coordination of travel, early and late meetings, and competing priorities.
- Coordinates all aspects of domestic and international travel, including flights, hotels, local transportation, detailed itineraries, visa and passport requirements as needed, and preparation and reconciliation of travel expense reports.
- Manages preparation for internal and external events by consolidating and distributing meeting materials, coordinating executive briefings and virtual meetings, resolving complex logistics, and ensuring the VP is fully prepared for each engagement.
- Serves as a primary contact and initial coordination point for executives, employees, external partners, suppliers, and other stakeholders, using professionalism, discretion, and strong organizational knowledge to resolve routine and complex inquiries.
- Supports the effective operating rhythm of the Global Supply Chain leadership team, including coordination of leadership meetings, operating and performance reviews, strategy sessions, planning cycles, off-sites, and other critical business processes.
- Manages creation, tracking, and reconciliation of purchase orders and departmental expenses; partners with Procurement and Finance to onboard suppliers, resolve issues, improve tracking practices, and ensure compliance with company policies and procedures.
- Establishes, manages, and continuously improves SharePoint sites, collaboration spaces, documentation repositories, and administrative processes that support effective global team operations.
- Maintains and governs critical organizational information, including organization charts, job descriptions, distribution lists, leadership materials, and internal group content, ensuring accuracy, consistency, confidentiality, and timely updates.
- Supports the Global Supply Chain leadership team and broader organization during meetings, events, correspondence, and communication activities, including meeting organization, deadline and commitment tracking, action-item follow-up, and resolution of complex coordination needs.
- Creates and coordinates materials for leadership meetings, town halls, and team communications; manages team communication sites and proactively partners with Agilent communication teams to align messaging and support effective global communication and employee engagement.
- Provides onboarding support for new leaders and employees reporting to the VP and helps ensure effective integration into the organization.
- Understands and fully complies with SEC Regulation Fair Disclosure requirements governing what can be shared about the company with internal and external individuals.
- Participates in and may lead functional projects and process improvements, including automation of reporting, goal and initiative tracking, headcount and budget tracking, travel and approval processes, leadership dashboards, KPI publishing, and other mechanisms supporting effective management of the Global Supply Chain organization. Develops recommendations for improved practices, tools, and procedures based on evolving business needs.
- Actively participates in and supports Agilent’s global administrative assistant community, with particular emphasis on coordination and collaboration across the Global Operations organization, sharing best practices and supporting functional and company-wide events and priorities.
Knowledge, Skills, and Abilities:
- Excellent judgment, discretion, integrity, and ability to handle highly confidential information in support of executive-level leadership.
- Strong verbal and written communication skills, with the ability to prepare executive correspondence, reports, meeting materials, and communications for diverse global audiences.
- Strong business acumen and ability to understand organizational priorities, anticipate needs, connect activities across stakeholders, and recognize when issues require executive attention.
- Strong computer and technical skills, with experience using Microsoft 365 business applications including Word, Excel, PowerPoint, Outlook, Teams, SharePoint, and Copilot or similar tools.
- Demonstrated ability to apply digital technologies, automation, AI, and collaboration tools to improve efficiency, effectiveness, documentation, reporting, and global ways of working.
- Ability to operate independently while working effectively as part of a global, cross-functional team.
- Proven time-management and organizational skills with the ability to coordinate a highly dynamic executive agenda.

- Ability to develop trusted relationships and professionally engage with senior executives and demanding or challenging stakeholders.

- Significant attention to detail, follow-through, ownership mindset, and ability to manage competing priorities with minimal instruction and broad guidelines.
- Comprehensive understanding of assigned work, company policies, and organizational practices, with the ability to recommend and implement improvements to processes, procedures, and ways of working.
- Ability to act as an informal leader within the administrative community by coordinating across teams, sharing best practices, supporting adoption of improved ways of working, and helping resolve escalations.
