Job Description
- Join a growing wealth management practice dedicated to delivering an exceptional client experience. The Executive Assistant & Marketing Specialist serves as a key member of the team, supporting daily office operations, client service initiatives, and marketing activities that help strengthen the firm's relationships and presence in the community.
- This role requires a highly organized, detail-oriented professional who can manage multiple priorities, maintain a high level of professionalism, and contribute to a positive client experience.
Position Functions:
Administrative & Executive Support
- Provide reception coverage and serve as the first point of contact for clients and visitors.
- Answer and direct incoming phone calls.
- Manage calendars, appointments, meetings, and event logistics.
- Assist with client paperwork, service requests, and follow-up items.
- Process mail, deposits, checks, and outgoing correspondence.
- Maintain accurate client records, CRM notes, and workflow documentation.
- Coordinate office supplies, vendor relationships, and facility needs.
- Support special projects and business initiatives as needed.
Marketing & Client Engagement
- Coordinate client appreciation events, sponsorships, charitable initiatives, and community involvement activities.
- Manage event logistics, invitations, vendor coordination, and follow-up communications.
- Assist with website updates, marketing materials, and social media content.
- Support branding and communication initiatives that enhance the client experience.

Qualifications
- High school diploma required; associate or bachelor’s degree preferred.
- 2+ years of experience in administration, executive support, marketing, client service, or a related field.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, and Teams).
- Experience with CRM systems and event coordination preferred.
- Must be authorized to work in the United States.
