Facilities Coordinator - JLL
What this job involves:
As a Facilities Coordinator at JLL, you will conduct daily site inspections, respond to work orders within KPI standards, and coordinate repairs, maintenance, and vendor services. You'll manage vendor relationships, oversee site amenities including fitness and food services, and serve as the primary point of contact for facility requests, events, and guest services. Your role includes maintaining emergency response plans, conducting safety assessments, ensuring building compliance, and managing site documentation, reception services, and workspace areas. You will deliver exceptional service that meets contractual KPIs while fostering teamwork and identifying opportunities for continuous operational improvement.
What your day-to-day will look like:
- Actively support an environment of teamwork, cooperation, performance excellence, and personal success.
- Conduct daily walkthroughs to ensure clean and organized office.
- Respond to all work orders in a timely manner, ensuring KPI compliance and excellent customer service.
- Identify opportunities for improved operation and service excellence, making recommendations for conduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all times and the provision of a safe workplace.
- Schedule and manage repairs and maintenance, minor works and other work requests, tracking to completion.
- Provide information and direction to vendors, facilities staff and other service providers as required to ensure excellent coordination and execution of work, with minimal disruption.
- Assist in the procurement of vendors and services as required.
- Coordinate the delivery of site amenities which may include fitness, food services, massage, transportation, support moves as required and act as the site key point of contact.
- Provide coordination and support events, meeting, and conference facilities as required.
- Other duties that may include but are not limited to reception and guest support, mail and courier services, office supplies and equipment maintenance, landlord relations and management of building access passes, safety and security support.
- Update and maintain accurate records and official documentation for the site/s including web pages where any other activities to support JLL and/or operations, including, but not limited to: moves/reconfigurations, events, reception, and building operations.
- Maintain and propose emergency response plans including evacuation, implementation of after-hours emergency response, and environmental health and safety.
- Client Relationship Management
- Comply with all requirements of the client contract and meet or exceed Key Performance Indicators.
- Deliver an exceptional quality of service, as reflected by client feedback.
- Coordinate site operations in accordance with all agreed policies, procedures, and contract scope.
- Maintaining Work Spaces such as kitchen and All-Hands Areas
Required Qualifications:
- High school diploma or equivalent required;
- 3-5 years of experience in office administration, office management or costumer facing roles.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong organizational and multitasking abilities with attention to detail
- Excellent customer service and communication skills (written and verbal)
- Ability to prioritize competing demands and work in a fast-paced environment
- Problem-solving skills and proactive approach to identifying issues
- Vendor management and procurement coordination experience
- Ability to walk facilities and conduct site inspections regularly
- Occasional lifting up to 25-50 pounds
Preferred Qualifications:
- Associate's or Bachelor's degree in Facilities Management, Business Administration, or related field
- Experience in commercial office environments or property management preferred
- Experience with work order management systems and facility management software (CMMS)
- Basic understanding of building systems (HVAC, electrical, plumbing)
- Knowledge of health and safety regulations and building codes

Bellevue, WA
Work Shift:
Monday to Friday | 1st shift - 7:30am - 4:30pm
Salary/ Comp:
$68,000- $71,000 | $32.69 - $34.13 per hour

Expected compensation for this position:
- 68,000.00 – 71,000.00 USD per year
- Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
