We are looking for a reliable and detail-oriented HR Administrative Assistant / Records Clerk who enjoys keeping information organized, maintaining accurate records, and supporting a busy healthcare staffing office.

This is a hands-on administrative role for someone who is organized, dependable, comfortable working with confidential information, and able to manage multiple tasks while maintaining accuracy. The ideal candidate takes pride in keeping records up to date and helping the HR team stay organized and on track.

What You'll Do

Maintain accurate and organized electronic and physical employee, candidate, and HR records.

Assist with onboarding and pre-employment documentation, ensuring required documents are complete and up to date.

Review employee files for missing, incomplete, or expired documentation and follow up as needed.

Enter, update, and maintain employee information in HR systems and databases.

Assist with processing employee paperwork, forms, certifications, licenses, and other required documentation.

Track employee credentials, certifications, expiration dates, and other compliance-related requirements.

Assist with timesheet grading during payroll applying CA time and labor laws.

Prepare and organize documents for employee files, facility requirements, audits, and internal records.

Assist with sourcing, prescreening, and scheduling potential candidates.

Communicate with employees regarding missing paperwork, documentation, deadlines, and HR requirements.

Communicate with healthcare facilities regarding employee documentation, onboarding requirements, and administrative needs.

Answer phones, respond to emails, and assist employees, candidates, and clients with general questions.

Assist with scheduling interviews, orientations, onboarding appointments, and other HR-related activities.

Maintain confidentiality when handling employee, candidate, facility, and company information.

Assist with general office administration, filing, scanning, copying, data entry, and organization.

Attend job fairs, school presentations, and other events with recruiters.

Participate in social media recruiting and assist in creating content for company social media platforms.

Support the HR team and other departments with special projects and administrative tasks as needed.

Help identify opportunities to improve organization, recordkeeping, and administrative processes.

Professional – You represent QTS with professionalism, respect, and a positive attitude in all interactions.

Qualifications:

Previous administrative, HR, records management, healthcare, staffing, or related office experience.

Excellent attention to detail and organizational skills.

Strong communication and follow-up skills.

Ability to maintain confidentiality and handle sensitive information professionally.

Strong computer skills and comfort using email, spreadsheets, databases, and HR systems.

Ability to manage multiple priorities and meet deadlines.

Strong data entry and recordkeeping skills.

Ability to work independently and as part of a small team.

Reliable source of transportation for occasional events or off-site activities.

Preferred:

Previous HR or healthcare staffing experience.

Experience maintaining employee or personnel files.

Experience with HRIS or employee management systems.

Experience with onboarding and pre-employment processes.

Experience tracking licenses, certifications, or compliance documentation.

Experience with BambooHR or similar HR software.

Bilingual (Spanish).
