Location: Birmingham, B4 6GA

Contract: Full time, Permanent

Shifts: 37.5 hours per week, Monday to Friday, working 9.00am to 5.30pm with 1 hour unpaid lunch break

Purpose of role

The role of Multi Skilled Operative is a key position in Williams Lea reporting to the Office Manager. This role manages the daily operational and administrative operations of the department including establishing work priorities, ordering stock, client facing responsibilities, first line audio/visual triage, Mail distribution, Reception cover, general administrative tasks. Based fully onsite, this role also offers usage of office gym facilities, upon induction completion.

Key Responsibilities

Operations

  • Ensure all deadlines are met and renegotiate those that are unachievable in a proactive fashion by liaising directly with the client.
  • To deal with any issues raised by escalating these to your line manager as and when required
  • Welcome clients / visitors / deliveries / contractors to the office with warmth and professionalism
  • To ensure that all logs, forms and work related administration are completed in an appropriate manner
  • Work tidy and safe at all times ensuring stock is stored in the appropriate storage areas
  • Dealing with customer requests (Email, phone, in person & overseas)
  • Checking stock levels of paper, reprographic supplies, stationery cupboards & general supplies
  • Ordering stock, ad-hoc requests, printed matter, reprographic supplies, etc.
  • Delivering Ad-hoc requests, filling stationery cupboards, delivering files and dividers
  • Compiling information for the Managers Monthly Report (MMR)

Mail Duties

  • Processing inbound/outbound mail, post and print
  • Checking the in/out trays
  • Hand collections/deliveries to external agencies
  • Process courier requests
  • Reprographics support
  • Accurate record keeping
  • Troubleshoot basic office equipment problems

Reception Duties

  • Setting up locker and troubleshooting locker issues
  • Checking of IT kit in meeting rooms
  • Room set up for social spaces

People

  • Liaise and consult with managers on a regular basis
  • Work together with other departments to provide a first-class service.
  • Take ownership for personal development
  • Encourage a positive, courteous and productive working environment
  • Manage resources to ensure efficient operations
  • Liaise with the wider Williams Lea teams to ensure continual knowledge share and leverage of benefit across clients.

Health and Safety

  • Always follow Group and company policies and procedures.
  • Report all incidents, accidents & near misses
  • Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery or risk to health and safety or the environment
  • Promote Health & Safety and safe working practices.
  • Report any issues or training needs to your Line Manager
