Job Summary:
JOB DESCRIPTION – OFFICE ADMINISTRATOR
Location: Zürich
Division: Ticketmaster Central Europe Market, Switzerland
Line Manager: Managing Director, Switzerland
Contract Terms: 80-100%, Full Time 42.5 hours per week
THE JOB
You are the organisational backbone of Ticketmaster Switzerland and run our office in Dübendorf to a high standard. You keep the market's administrative processes running, supporting Finance, HR and Customer Service, and you own our Experience Management, VIP guests, lounges, complimentary tickets and invitations.
In addition, you keep calendars, meetings and deadlines on track and provide administrative support to the Managing Director.
WHAT YOU WILL BE DOING
Office Management
Run the office to a high standard, supplies, mail, keys/keycards, parking and pool car, visitor welcome.
Liaise with the landlord and external contractors, oversee facility topics and health & safety.
Maintain office policies, internal manuals and process documentation.
Organise team events and maintain the team vacation and absence overview.
Team Support
Support HR administration, on-/offboarding, personnel files, coordination with insurance and payroll partners, in collaboration with the global HR Operations team.
Support Finance with preparatory accounting, support in digitalising accounting processes, and payment follow-ups.
Contract and vendor management, deadlines, filing and coordination with external vendors.
Maintain the weekly event outlook so all functions can plan ahead.
Support the team with administrative tasks and cross-department coordination.
Ad-hoc tasks and projects as required.
Experience Management
Manage VIP guests, lounges and hospitality at concerts, festivals and sports events.
Administer complimentary tickets, invitations and guest lists for clients and partners.
Coordinate hospitality logistics with promoters and venues.
Organise internal occasions (e.g. employee events and recognition).
Administrative Support & Coordination
Manage the Managing Director's calendar and inbox, prioritise and schedule with foresight.
Prepare meetings, briefings and presentations (Management Team meetings, Town Halls), take minutes and manage follow-ups.
Track open tasks, decisions and deadlines and follow up proactively.
Plan and book travel and handle expense reporting for the team and the Managing Director.
First point of contact for internal and external requests, handling confidential matters with discretion.
WHAT YOU NEED TO KNOW (or TECHNICAL SKILLS)
Experience as an office manager, executive assistant or in a comparable organisational role.
Excellent organisation and prioritisation skills, calm and structured under multiple demands.
High discretion and reliability in handling confidential information.
Advanced Outlook and MS Office skills.
Fluent German and English; French is a plus.
Affinity for live entertainment and hosting, willingness to attend selected evening/weekend events.
Proactive, hands-on and service-minded personality.
