  • Support daily office operations: Assist with filing, copying, scanning, data entry, document preparation, and other administrative tasks.
  • Coordinate mail and deliveries: Receive, sort, and distribute incoming mail and packages, including UPS, FedEx, and Certified Mail. Prepare outgoing shipments and ensure time-sensitive correspondence reaches the appropriate departments.
  • Coordinate local mail delivery: Travel to the Dousman Post Office and Genesee Lake School as needed to support mail pickup, delivery, and distribution.

  • Manage office supplies: Monitor inventory, order and restock supplies, coordinate with vendors, and oversee postage machine supplies and service needs.
  • Assist with meetings and office coordination: Reserve meeting spaces, prepare basic meeting materials, create weekly conference room signage, notify attendees, and support special projects.
  • Provide basic equipment support: Monitor copier and printer supplies, address minor issues when appropriate, and coordinate with Information Systems (IS) or vendors when additional support is needed.
  • Maintain office information: Keep employee contact lists and phone extensions accurate and up to date.
  • Contribute to a positive workplace: Demonstrate professionalism, respect, collaboration, sound judgment, and a commitment to confidentiality and workplace safety.
  • Other duties may be assigned as needed.

What We’re Looking For

  • High school diploma or equivalent.
  • One to two years of receptionist, customer service, or administrative support experience preferred.
  • Valid driver's license and an acceptable driving record.
  • Familiarity with email, word processing, spreadsheets, and multi-line phone systems, with a willingness to learn additional technology.
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with visitors, callers, and colleagues.
  • Ability to exercise sound judgment, make timely decisions, and solve problems effectively.
  • Dependability, punctuality, and the ability to work independently with minimal supervision.
  • Ability to manage multiple tasks in a fast-paced, changing office environment.
  • Commitment to handling sensitive information appropriately and maintaining confidentiality.
