The Regional Crop Operations Lead is responsible for managing a service team who provides the day-to-day service, new business, and renewal insurance needs of our Crop clients, with a focus on providing our customers with timely, accurate, professional and world class service. The Regional Crop Operations Lead will be required to manage teams to successful outcomes from regional strategic goals, key initiatives, efficiency gains, client retention and high service standards. This individual is responsible for teams being adequately trained, workflows followed, correct Broker Management System usage, and staffed. The Regional Crop Operations Lead will manage a small book of business as capacity allows, and may, from time to time, need to assist a team or specific book of business.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Be the champion of Crop Workflows including Broker Standards. Ensure all direct reports are adhering to these policies and procedures
  • Review and hold teams accountable for work being completed or not completed in Broker Management System
  • Embrace, promote and support the direction and goals of Hub Mountain States Review audits and reports to identify training needs or insurance knowledge insufficiencies
  • Accountable to audit teams’ compliance in completing all activities, processes, workflows, and broker standards
  • Facilitate communication between direct reports and create a positive, idea sharing, place where employees can share suggestions and improvements
  • Promote employee retention by creating a climate where employees are motivated to do their best and can be successful
  • Continually review books of business to avoid workloads that are not equally managed and ensure the team has staffing, resources and assistance needed to provide best client experience
  • Manage teams to positive outcomes regarding carrier strategic corporate initiatives, book rolls and internal initiatives
  • Ensure quality service is provided to our clients on a timely and consistent basis
  • Coordinate a team of Account Managers and Policy Service Associates to make sure there is appropriate staffing during normal work hours to adequately serve the client
  • Lead by example in areas of excellent client service, adoption of company policies, procedures, and workflows, embracing technology systems, and professional growth by means of continually seeking educational opportunities
  • Ensure Training & Compliance requirements are met for all direct reports
  • Organize team meetings with agendas
  • Build a pipeline and relationship with candidates for positions within HUB
  • Lead hiring process and obtain necessary approvals when hiring new service team members
  • Track and be responsible for the completion of new employee onboarding, training, coordinate with regional training and have an outline of needs for new employee that would include insurance, systems, coverage, EPIC, a thorough review of the Crop Workflow manual and on the job training
  • Be the “Buddy” or assign a “Buddy” for a new employee to the team for 3 to 6 months by helping with questions and direction about workflow and procedures
  • Monitor daily attendance and approve electronic time records of service team members. Coordinate and approve vacation and other time away from the office, making sure there is adequate staffing to fulfill the service needs of the clients
  • Work with staff on their performance reviews and career paths/succession planning. Must hold teams accountable and confirm that any and all corrections for HFC, PR/BR, accounting, commissions, coverage etc.
  • Evaluate staff performance and remediate deficiencies, quickly resolve employee issues or performance issues. Address employee performance issues with involvement from HR as needed
  • Bring forward team members concerns to Management
  • Responsible to be sure all accounting errors are corrected, including PR/BR issues, DB errors, commission errors to the agency or producer and all open $activities from accounting/HFC/ARC
  • Support finance team in resolving commission errors, disputes or inaccuracies in commission statements by providing research and detailed analysis when requested.
  • Assist and coordinate with the crop sales team for planning meetings with the HUB Crop Team, carrier specific meetings, and crop specific trainings
  • Work with crop sales team and the SRM team on advertising and promotional campaigns
  • Be knowledgeable about Farm Bill implementation; have good understanding of how changes may affect the agency
  • Onboarding/Offboarding of all new crop Agents with Carrier Websites
  • Running reports at the Carrier Level to meet compliance
  • Work with Chief Marketing Officer and Sales Leaders with annual review of carrier agreements. Includes running reports, assessment of the data and working together to meet strategic initiatives.
  • Act as a liaison between clients and insurance carriers to resolve escalated complex service
