Position Summary
The Faculty of Law is seeking a highly organized, technology-savvy McGill student to support the implementation and adoption of two new examination platforms, Ans and Schoolyear, which will be used for the first time within the Faculty.
Working closely with the Student Affairs Office, the Exam Systems Documentation & Training Assistant will familiarize themselves with both platforms and help develop the documentation, training materials, and support resources required for successful implementation. The successful candidate will play an important role in helping students, instructors, invigilators, and administrative staff navigate new examination processes and technology.
This position is ideal for a student with strong technical aptitude, excellent written communication skills, and an interest in user support, instructional design, documentation development, or technology onboarding.
Key Responsibilities
Software Learning and Testing
- Develop a strong working knowledge of the Ans and Schoolyear platforms
- Test platform functionality from the end-user perspective
- Participate in user acceptance testing and quality assurance activities
- Identify and document issues, challenges, and user experience concerns
- Assist in developing recommendations to improve user processes and workflows
Documentation and Resource Development
- Adapt vendor-provided resources for use within the Faculty of Law context
- Develop and maintain clear, user-friendly documentation for various stakeholder groups
- Create:
- Student user guides
- Faculty user guides
- Administrative procedures manuals
- Troubleshooting resources
- Frequently Asked Questions (FAQ) materials
- Exam support workflow documentation
- Knowledge base content
Produce annotated screenshots, reference sheets, and other support materials
Training and Implementation Support
- Support the development of onboarding and training materials for students, instructors, invigilators, and administrative staff
- Create presentation materials and instructional resources to support training sessions delivered by Student Affairs staff
- Assist in the development of short instructional videos and visual learning resources
- Support implementation planning activities related to the rollout of the platforms
User Support
- Assist with responding to user questions related to Ans and Schoolyear
- Provide support during examination periods as required
- Help triage and document technical issues experienced by users
- Assist with maintaining consistent support documentation and procedures

Deliverables

Hours per week : Approximately 15-20 hours per week on average; higher workload anticipated during the initial onboarding and implementation period (approximately 20-25 hours per week during the first 2-3 months)
Required
- Current non-Law McGill University student (undergraduate, master's, or doctoral)
- Strong technological aptitude and ability to learn new software systems quickly
- Excellent written and verbal communication skills in English
- Strong organizational skills and attention to detail
- Ability to communicate technical information clearly to non-technical audiences
- Experience creating professional documents, guides, or instructional materials
- Ability to work independently and manage competing priorities in a largely remote environment
- Demonstrated proficiency with Microsoft 365 applications (Word, PowerPoint, Excel, Teams)
Assets
- Experience using Ans or similar digital examination software
- Experience supporting the implementation or adoption of new technologies, systems, or processes
- Experience creating user guides, tutorials, training materials, or knowledge base documentation
- Experience producing instructional videos or visual learning resources
- Familiarity with myCourses or other learning management systems
- Knowledge of instructional design principles
- Knowledge of accessibility, inclusive design, or universal design principles
- Strong written and verbal communication skills in French

La Faculté de droit est à la recherche d’un(e) étudiant(e) de McGill très organisé(e) et à l’aise avec les technologies afin de soutenir la mise en œuvre et l’adoption de deux nouvelles plateformes d’examen, Ans et Schoolyear, qui seront utilisées pour la première fois au sein de la Faculté.
En étroite collaboration avec le Bureau des affaires étudiantes, l’assistant(e) à la documentation et à la formation sur les systèmes d’examens se familiarisera avec les deux plateformes et contribuera à l’élaboration de la documentation, du matériel de formation et des ressources de soutien nécessaires à leur mise en œuvre réussie. La personne retenue jouera un rôle important afin d’aider les étudiants, les enseignants, les surveillants et le personnel administratif à se familiariser avec les nouveaux processus et outils technologiques liés aux examens.
Ce poste convient particulièrement à un(e) étudiant(e) ayant de solides aptitudes techniques, d’excellentes compétences en communication écrite et un intérêt pour le soutien aux utilisateurs, la conception pédagogique, la création de documentation ou l’intégration de nouvelles technologies.
Principales responsabilités
Apprentissage et mise à l’essai des logiciels
- Acquérir une solide connaissance pratique des plateformes Ans et Schoolyear.
- Tester les fonctionnalités des plateformes du point de vue de l’utilisateur final.
- Participer aux activités de tests d’acceptation par les utilisateurs et d’assurance qualité.
- Cerner et documenter les problèmes, les difficultés et les préoccupations liées à l’expérience utilisateur.
- Contribuer à l’élaboration de recommandations visant à améliorer les processus et les flux de travail des utilisateurs.
Élaboration de documentation et de ressources
- Adapter les ressources fournies par les fournisseurs afin de les intégrer au contexte de la Faculté de droit.
- Élaborer et maintenir une documentation claire et conviviale destinée aux différents groupes d’utilisateurs.
