The ULGC Sales and Marketing Coordinator IV is responsible for supporting and advancing the membership, marketing, communications, event sales, and member engagement efforts of the University of Louisville Golf Club (ULGC). The position serves as a primary point of contact for current and prospective members and plays a key role in creating a high-quality member experience through effective communication, programming, events, and service.

Responsibilities include membership sales and services, member communications, social media management, special event and banquet sales, member event planning and execution, and other initiatives designed to support membership growth, retention, engagement, and the overall success of the Club.

The position reports to the F&B/Clubhouse Manager and works collaboratively with Golf Operations, Food & Beverage, Agronomy, Athletics administration, University partners, vendors, members, and guests.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Member Sales and Services

  • Lead and coordinate membership sales efforts with a focus on attracting prospective members and supporting overall membership growth and retention.
  • Serve as a primary point of contact for prospective members, responding to inquiries, providing membership information, coordinating tours and follow-up, and guiding prospects through the membership process.
  • Maintain awareness of membership trends and provide recommendations regarding membership recruitment, engagement, retention, and programming.
  • Maintain accurate member accounts, records, and membership information within Club operating software.
  • Assist with the preparation, monitoring, and analysis of membership budgets, projections, and reports.
  • Support member onboarding and ongoing engagement to help provide a welcoming and consistent member experience.

Marketing, Communications & Social Media

  • Develop, coordinate, and distribute Club communications across member email platforms, the ULGC website, social media channels, and other communication platforms.
  • Manage ULGC social media channels, including developing and scheduling content, promoting Club activities and accomplishments, and maintaining an active and professional digital presence consistent with University and Athletics branding standards.
  • Develop and execute marketing strategies supporting membership sales, member engagement, Club events, dining, golf programming, and other ULGC initiatives.
  • Coordinate the development of marketing and promotional materials, including University InMotion requests, membership materials, event promotions, signage, digital content, and other Club collateral.
  • Maintain a consistent Club voice and brand across member-facing communications and marketing channels.

Member Events & Programming

  • Lead the planning, coordination, promotion, and execution of member events and programming designed to enhance the member experience and increase engagement.
  • Organize and coordinate all aspects of ULGC Member-Guest tournament(s), including event planning, registration, member and guest communications, sponsorships, gifting, tournament-related social functions, food and beverage coordination, vendor coordination, marketing and promotion, budgeting, timelines, and overall event execution.
  • Develop an annual calendar of member events and programming in coordination with Club leadership and applicable departments.
  • Evaluate participation and member feedback to identify opportunities to strengthen future programming and events.
  • Work collaboratively with Golf Operations and Food & Beverage staff to ensure member events are well coordinated and executed at a high level.

Special Events & Banquet Sales

  • Promote and generate sales for Club meetings, banquets, outings, and special-event facilities.
  • Manage prospective client inquiries and serve as a primary contact throughout the event sales and planning process.
  • Utilize Club operating software to prepare event details, contracts, and other necessary documentation and maintain an accurate master event calendar.
  • Coordinate closely with the F&B/Clubhouse Manager, culinary staff, Golf Operations, and other departments to ensure successful event execution.
  • Assist with preparation and analysis of special-event budgets, revenue projections, and results.
  • Identify opportunities to increase event and banquet business while appropriately balancing private-event activity with the member experience.

Administrative & Club Support

  • Maintain organized records, calendars, timelines, and reporting related to membership, marketing, communications, and events.
  • Develop and track relevant membership, event, and marketing metrics to help evaluate performance and identify opportunities for improvement.
  • Build effective working relationships with members, prospective members, clients, University departments, vendors, and Club staff.
  • Support Club-wide initiatives and special projects as assigned by the F&B/Clubhouse Manager.
  • Perform other duties as assigned.

Leadership

  • Train, develop and evaluate staff to perform at a high level of customer satisfaction
  • Hold all unit heads accountable for providing regular feedback to employees

PREFERRED QUALIFICATIONS

  • Master’s Degree.
  • Three years of related experience in the club, resort, hospitality, membership, marketing, communications, or event industry, preferably within a private club environment.
  • Demonstrated experience in membership sales, marketing, communications, event management, or hospitality.
  • Strong written, oral, and interpersonal communication skills.
  • Excellent customer service skills and demonstrated commitment to creating a high-quality member and guest experience.
  • Experience managing organizational or business social media channels and developing digital content.
  • Proficiency with Microsoft Office and related business applications.
  • Experience with club management and communication software such as Jonas, ClubBroadcast, or similar platforms.
  • Experience developing marketing materials and working knowledge of Adobe Photoshop or similar design platforms preferred.
  • Ability to manage multiple projects, events, deadlines, and priorities simultaneously.

Compensation will be commensurate to candidate experience.
