Accounting Manager

Company: Magnus Medical Inc

Location: Burlingame, CA (Hybrid, CA)

Reports to: Director of Accounting

Team: Finance & Accounting

The Role

You'll own the full accounting cycle, from AP and expense coding to billing, collections, and commission accounting, reconciliations, and the month-end close. As we bring accounting in-house, you'll take over work currently handled by Outsourced Accounting , working with the Director of Accounting to transition it without disrupting the close. You'll also be the Director's right hand on our systems modernization: migrating to a new ERP and consolidating Bill.com, Expensify, and Brex onto Ramp. The Director sets the strategy and owns the projects. You'll handle hands-on execution, keep the close running through the changes, and help the team adopt new processes and tools.

What You'll Do

In-house transition from Outsourced Accounting (supporting the Director of Accounting)

Work with the Director of Accounting and Outsourced Accounting on a phased transition plan, with clear handoff dates, responsibilities, and a cutover timeline

Absorb Outsourced Accounting 's responsibilities, such as bookkeeping, AP and expense processing, reconciliations, journal entries, and close support

Run knowledge transfer sessions, and document Outsourced Accounting 's existing workflows, checklists, and recurring entries

Review the historical books for accuracy, including reconciliation status, open items, and accounting policy treatment, and flag cleanup needs to the Director

Collect and organize all workpapers, schedules, supporting documentation, and system access from Outsourced Accounting

Run parallel closes during the transition to validate results before Outsourced Accounting is fully off- boarded

Help build the processes, close calendar, and controls that replace the outsourced model, and help hire and onboard future accounting team members

ERP migration and systems transition (supporting the Director of Accounting)

Assist the Director in planning and executing the ERP migration, including chart of accounts redesign, data mapping, historical data migration, and opening balance validation

Support requirements gathering, configuration, testing (UAT), and go-live, including parallel closes and cutover planning

Help implement Ramp in place of Bill.com, Expensify, and Brex, including approval workflows, coding rules, card programs, vendor onboarding, and ERP integration

Serve as the day-to-day contact for implementation partners and vendors, escalating decisions and issues to the Director

Document new processes and train team members and business users on the new systems

Ensure continuity of the close, reporting, and 1099 data through the transition, including consolidation of vendor and payment history across legacy platforms

Help decommission legacy systems and archive records to support audit requirements

AP, expenses, and 1099 reporting

Review and approve coding of vendor bills and employee expenses (Bill.com and Expensify today, Ramp going forward), ensuring accurate GL, department, and class/project allocation

Maintain vendor records, W-9 collection, and 1099 tracking throughout the year

Prepare and file annual 1099 reporting (1099-NEC/MISC), including year-end vendor review and corrections, and ensure payments across all platforms are captured

Reconcile company credit cards (Brex today, Ramp going forward), including matching transactions, resolving missing receipts, and ensuring proper coding

Billing and collections

Generate customer invoices accurately and on schedule, based on contracts, usage, and subscription terms

Manage AR and collections, including aging reviews, customer follow-up, cash application, and dispute resolution

Maintain deferred revenue schedules and support revenue recognition (ASC 606)

Payroll and commissions

Reconcile payroll liabilities and coordinate with the payroll provider and People team

Reconciliations and cash management

Perform and review all balance sheet account reconciliations monthly, with proper support and sign- off

Produce a weekly cash balance report for finance leadership, including cash position, receipts, and upcoming disbursements

Complete bank reconciliations and cash application

Month-end close and financial reporting

Own the execution of the monthly close, including journal entries, accruals, prepaids, fixed assets, and flux analysis, targeting a 5-7 business day close

Prepare monthly financial statements (P&L, balance sheet, cash flow) and management reporting packages for Director review

Partner with FP&A on budget-to-actual variance analysis

Support board, investor, lender, and audit requests

Grant accounting (a plus)

Track grant awards, allowable costs, and reimbursements

Prepare grant billing, reporting, and compliance documentation

Ensure proper revenue/contra-expense treatment and audit-ready support

Controls and process improvement

Help design and document accounting procedures and internal controls for the in-house function and new systems

Identify and implement automation across Ramp, the new ERP, and billing systems

Support external auditors and tax advisors alongside the Director of Accounting

What You'll Bring

Required

5+ years of progressive accounting experience, ideally including time in a startup or high-growth environment

Bachelor's degree in accounting or finance; CPA a plus

Strong knowledge of US GAAP

Experience taking over or managing accounting from an outsourced provider, or building an accounting function from the ground up

Hands-on experience supporting an ERP implementation or migration (data mapping, testing, cutover), ideally in a startup

Experience with AP and expense platforms such as Bill.com, Expensify, Brex, or Ramp, including 1099 reporting

Experience running a full month-end close and preparing financial statements

Experience with invoicing, collections, and AR management

Experience with payroll accounting and commission calculations

Proficiency with a cloud ERP (NetSuite, Sage Intacct, QuickBooks, or similar) and advanced Excel/Google Sheets skills

Preferred

Experience with Ramp specifically, or a prior migration between spend management tools

Experience with Campfire, Rillet or equivalent

Experience reviewing and cleaning up books inherited from a third party

Grant accounting and/or single audit experience

Experience supporting external audits and investor reporting

You are

Detail-oriented and highly organized, with strong follow-through

A strong partner to leadership, able to take direction, execute independently, and flag issues early

Comfortable keeping the close on track while providers and systems change underneath you

Diplomatic and professional in working with an outgoing vendor through a handoff

A clear communicator who can train and support non-finance teams through change

Pragmatic, balancing accuracy with speed

Success Looks Like

First 30 days: Learn our current systems and Outsourced Accounting 's workflows, take over AP/expense coding and credit card reconciliation, begin producing the weekly cash report, and align with the Director on the transition and migration plans.

First 90 days: Take over the month-end close from Outsourced Accounting , with reconciliations current and a clean parallel close completed. Actively support the Director in ERP configuration, data mapping, and testing, and help roll out Ramp.

First 12 months: Complete the transition off Outsourced Accounting and help the Director complete the ERP and Ramp transitions with a clean cutover. Deliver a clean 1099 filing across legacy and new platforms, with an audit-ready balance sheet, documented processes, and a scalable billing, collections, and commission workflow, all run by an in-house team.
