Position Summary

The Accounts Payable Coordinator supports accurate, timely, and well-controlled invoice and payment processing across a high-volume commercial real estate portfolio. This role reviews and processes transactions, resolves discrepancies, maintains audit-ready documentation, and ensures compliance with established approval workflows, internal controls, and accounting procedures.

Working closely with the Accounts Payable Supervisor and Accounts Payable Manager, this individual is expected to operate with a high degree of independence, accountability, and sound judgment. The ideal candidate is detail-oriented and proactive, with the ability to identify and research issues, determine appropriate next steps, communicate effectively, and follow matters through to resolution with minimal oversight.

What You’ll Do

Process, code, route, and review invoices and payment requests for accuracy, proper approval, and supporting documentation.

Research and resolve invoice discrepancies, duplicate concerns, vendor inquiries, workflow exceptions, and payment issues.

Prepare payment batches and complete assigned check run activities while maintaining complete supporting records.

Monitor Accounts Payable email, voicemail, workflow queues, and system exceptions and follow outstanding items through resolution.

Support assigned real estate tax, mortgage, distribution, and capital expenditure processes.

Maintain organized, audit-ready records and comply with established internal controls, approval workflows, segregation-of-duties requirements, and record-retention standards.

Escalate unusual transactions, missing approvals, vendor master data concerns, and other potential control issues as appropriate.

Support audit requests and period-end close activities by locating documentation, researching open items, and resolving discrepancies.

Assist with team training, procedure documentation, and process improvements that increase accuracy, consistency, and efficiency.

What You’ll Bring

At least five years of Accounts Payable, accounting, bookkeeping, or related financial experience, including high-volume invoice and payment processing.

Working knowledge of general ledger coding, invoice approvals, supporting documentation, and payment processing.

Experience with accounting software, ERP systems, or invoice management platforms.

Strong attention to detail, critical thinking, problem-solving, organization, follow-through, and communication skills.

Ability to manage multiple priorities and deadlines while maintaining accuracy and professionalism.

Proficiency in Microsoft Excel, Outlook, Word, and related Microsoft Office applications.

Ability to follow established policies and controls, maintain complete supporting documentation, protect confidential information, exercise sound judgment, escalate concerns appropriately, and take ownership of assigned work through resolution.

Preferred Experience

Associate degree or higher in Accounting, Finance, Business Administration, or a related field.

Experience in commercial real estate, property management, multi-property, or multi-entity accounting.

Experience working in a structured accounting environment with internal controls, audit support, approval workflows, and documentation standards.

Experience with capital expenditures, real estate tax or mortgage payments, training, or process improvement.

Experience in a public company, a company preparing to become public, or a SOX-controlled environment is helpful but not required.

Physical Requirements & Work Environment

Work is primarily performed in a professional office environment and requires extended computer use, frequent use of standard office equipment, and effective in-person, telephone, and electronic communication. The role may occasionally require moving or carrying office materials weighing up to 20 pounds.
