Administration & Customer Service Officer – Defence Theatre Logistics (DTL)

We’re looking for skilled Administration & Customer Service Officer , you’ll be responsible for accurate data entry, document control, reporting support, operations support, procurement and frontline customer service activities that contribute to efficient warehouse and distribution operations.

Based at Robertson Barracks in the Holtze NT you’ll act as a critical key point of contact for internal teams and external Defence stakeholders, the Admin and Customer Service Officer ensure that queries, escalations, and routine communications are managed professionally and in a timely manner. The role also ensures alignment with contract KPIs, compliance requirements, and system integrity across all administrative and customer-facing functions.

How you’ll make the right impact

As an Admin & Customer Service Officer , you’ll play a key role in ensuring our Defence logistics operations run efficiently and in line with contract expectations. Reporting to the Operations Manager, you will:

  • Coordinate and deliver day-to-day administrative and customer service support to operational teams
  • Weekly payroll processing and other HR support functions
  • Maintain accurate records, forms, registers, and databases in line with contract and audit requirements
  • Provide customer service support, shared mailbox monitoring and inquiry response
  • Generate standard reports and assist in preparation of formal documentation (e.g. meeting packs, minutes, activity trackers, KPI reporting inputs)
  • Follow defined procedures for document control, data entry, and query management, escalating where necessary

What you’ll bring

We’re looking for motivated professionals who bring:

  • Minimum 3 years’ experience in an administrative, customer service, document controller or logistics support role
  • Experience working in a logistics, warehousing or Defence-related environment (preferred)
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, SharePoint), SAP, expense management and ability to work with ERP/WMS platforms
  • Strong written and verbal communication skills
  • Well-organized and able to prioritise tasks in a fast-paced operational environment
  • Ability to maintain confidentiality, accuracy, and professionalism in all interactions
  • Previous experience managing, controlling, developing and continuously improving document control systems

Eligibility to make the grade

  • Be eligible to obtain and maintain an AGSVA Defence Security Clearance (Baseline or higher).
