Primary Role:
AUI is seeking an organized, dependable Administrative Assistant / Estimator to support our fabrication shop. This position works closely with the Project Manager, drafting team, and shop personnel to assist with estimating, material purchasing, and project coordination, while simultaneously completing daily administrative needs.
Essential Duties and Responsibilities :
Provide administrative and project support to the Project Manager and fabrication team.
Assist with reviewing drawings, specifications, and bid documents to identify project requirements.
Assist with material takeoffs and preparing cost estimates for materials, labor, and outside services under the Project Manager’s guidance.
Request vendor quotes, compare pricing and availability, and follow up on outstanding quotes.
Help prepare proposals and maintain organized estimating records.
Order and track materials and supplies, prepare purchase orders, and coordinate deliveries.
Assist with scheduling shop work, tracking work orders, and monitoring project deadlines.
Communicate with vendors and internal team members to coordinate materials, project needs, and schedules.
Maintain accurate job files, including drawings, work orders, material records, and project correspondence.
Enter and update project information, prepare reports, and assist with invoices as needed.
Review documents for accuracy and completeness and follow up on missing information.
Use customer software systems and follow AUI and customer procedures.
Respond to calls and emails and provide additional administrative support as needed.
Minimum Requirements:
At least two years of administrative, customer service, project support, or related experience required.
Experience in construction, utilities, manufacturing, or fabrication preferred.
Estimating, purchasing, or material takeoff experience is a plus.
Proficiency in Microsoft Office, particularly Excel and Outlook.
Comfortable working with numbers, measurements, and detailed information.
Ability to read and understand basic drawings, or willingness to learn.
Strong organizational, communication, and follow-up skills.
Ability to manage multiple priorities, meet deadlines, and work independently.
A dependable work ethic, positive attitude, and willingness to take initiative.

You should be comfortable managing multiple priorities and working independently while supporting a busy team.
Prior estimating or fabrication experience is helpful, but we are willing to train the right person who brings a willingness to learn.
