About the role
Connexus Hub is building the team for an anticipated contract supporting the Federal Highway Administration's Central Federal Lands Highway Division (CFLHD) in Lakewood. CFLHD designs and builds roads and bridges on federal lands across a 14-state region, working with the National Park Service, Forest Service, state DOTs and tribal governments. Performance is expected to begin February 1, 2027.
You will be the administrative backbone for CFLHD's project delivery and construction branches, keeping projects moving from scoping through closeout. You will also be our on-site liaison, the person the Government's contracting officer representative works with day to day.
What you will do
Prepare and route correspondence, transmittals, reports and briefing materials, and check outgoing documents for format, grammar and consistency.
Set up new projects: directory requests, draft scoping documents and agreements, initial budget entry in project management systems, and account setup paperwork.
Draft monthly progress reports, update project budgets for amendments and reallocations, prepare funding transfer and change control documentation, and support acquisition and closeout files.
Prepare travel authorizations and vouchers under the Federal Travel Regulation and help staff with travel and timekeeping systems.
Schedule meetings, conferences and interview panels, set up virtual meetings, take minutes and track action items.
Support the construction branch with GPO requests, PPE logistics for field staff, training coordination, CPARS coordination, supplies and new employee setup.
Keep records and filing systems in line with records management policy and ISO documentation requirements.
What you need
At least five years of administrative support experience.
Working knowledge of project budgeting and scheduling, word processing, spreadsheets, and file and records management.
Strong writing, with clean grammar, spelling and punctuation.
Proficiency in Microsoft Word, Excel, PowerPoint and OneNote, and Google applications.
A valid driver's license and a personal vehicle for occasional mail runs between the two buildings (mileage reimbursed).
Ability to pass an FBI fingerprint check and a Tier 1 (NACI) background investigation and obtain a DOT PIV card. No security clearance is required.
A strong plus
Experience supporting project managers or construction operations engineers in an engineering, architecture, planning or environmental firm, or at a state or federal transportation agency.
Experience with federal travel systems and project budget tracking.
Current or prior support of FHWA or CFLHD.
Benefits
Health and welfare benefits under the Service Contract Act, 11 paid federal holidays, paid vacation (two weeks after one year), and paid sick leave.
