  • Managing incoming telephone calls, emails and customer queries professionally and efficiently.
  • Booking, amending and rescheduling appointments across clinic systems including EXACT, BOSS and Meddbase.
  • Preparing customer documentation, appointment packs, consent forms and clinical files.
  • Supporting the efficient management of customer reports and results, ensuring they are issued within agreed timescales.
  • Processing payments, invoices, credit notes and other financial administration duties accurately.
  • Monitoring stock levels, ordering supplies and processing delivery notes and invoices as required.
  • Working collaboratively with clinical colleagues to ensure reports and customer information are delivered within agreed service levels.

Key Skills / Qualifications needed for this role:

  • GCSE level education or equivalent.
  • Previous administration and customer service experience within a busy environment.

  • Good working knowledge of Microsoft Office applications.
  • Excellent organisation and prioritisation skills, with the ability to manage multiple tasks effectively.
  • Experience working collaboratively as part of a team.
  • A proactive, flexible and customer-focused approach.
  • Audio typing skills and knowledge of medical terminology would be advantageous but are not essential.
