We are a Firm where people truly believe in what they do and strive to achieve the highest standards of performance and success.

This position may be based in either the firm’s global operations center in the Tampa Bay area or our Dallas office.

  • General Description:
  • The AI Change Management Analyst supports the day-to-day operations of the firm’s AI Products & Adoption team. The Analyst tracks AI pilots, product launches, adoption initiatives, communications, events, and cross-functional change management projects, maintaining visibility into ownership, deadlines, approvals, dependencies, risks, and outstanding decisions.

The AI Change Management Analyst sits on the front lines of the firm’s AI adoption efforts, supporting the Director of AI Products and Adoption directly, as well as the broader Product and Adoption teams. The role works with legal, business, and technical teams on stakeholder engagement, change impacts, communications, training, readiness, and adoption.

Key Responsibilities and Essential Job Functions:

  • Maintains the team's project portfolio, tracking owners, milestones, deadlines, dependencies, risks, approvals, and open decisions across initiatives, pilots, events, and deliverables.
  • Supports the Director of AI Products and Adoption with meeting prep, agendas, materials, action tracking, scheduling, document organization, expenses, and follow-up on commitments.
  • Coordinates change management and adoption work across stakeholders, helping align implementation, communications, training, support, readiness, and reinforcement to ensure a seamless end-user experience for our lawyers and business services employees.
  • Handles the administrative side of AI pilots and intake, including rosters, waitlists, eligibility, approvals, prerequisites, attestations, training completion, access, usage records, routine communications, and requests for additions, removals, substitutions, license changes, and credit increases.
  • Runs the logistics for training, communications, and related resources: calendars, course setup, invitations, enrollment, attendance, instructor coordination, materials, recordings, newsletters, launch messages, surveys, feedback, and post-session follow-up.
  • Plans AI Days, workshops, leadership briefings, and other adoption events, covering checklists, agendas, speakers, rooms, catering, travel, equipment, invitations, registrations, run-of-show materials, and follow-up action items.
  • Attends core operational meetings and select project, cross-functional, leadership, or governance meetings where coordination and follow-through matter, relying on meeting owners for a brief update otherwise.
  • Builds templates, checklists, and standard procedures, and suggests process improvements that make the team more consistent, transparent, and efficient.
  • Expected to maintain a regular and predictable work schedule and full attention to and engagement in work activities on behalf of the firm during business hours unless otherwise approved or required by applicable law.
  • Special projects and duties as assigned.

Key Capabilities:

  • Project, Program, and Change Coordination. Manages multiple initiatives, stakeholders, deadlines, dependencies, and deliverables simultaneously. Coordinates enterprise change activities, including stakeholder analysis, impact assessments, communications, training, readiness, adoption, reinforcement, and transition to ongoing operations.
  • Executive and Team Support. Exercises sound judgment and discretion when supporting a senior leader and multidisciplinary team. Anticipates needs, prepares clear decision-making materials, manages details, and appropriately distinguishes routine matters from those requiring escalation.
  • Communication Skills. Communicates clearly and professionally in written and verbal formats. Develops executive-ready agendas, summaries, reports, presentations, and briefing materials tailored to the intended audience.
  • Organization and Follow-Through. Demonstrates strong organization, accuracy, reliability, and attention to detail in maintaining version control, project trackers, participant records, communications, events, and meeting follow-up.
  • Relationship Management and Service Orientation. Builds collaborative working relationships with attorneys, business professionals, technical teams, vendors, and senior stakeholders while providing responsive, service-oriented support.
  • Analysis, Process Improvement, and Technology Fluency. Organizes and analyzes qualitative and quantitative information, identifies recurring issues and bottlenecks, recommends process improvements, and effectively uses AI tools and Microsoft 365 applications.
  • Curiosity About AI and the Legal Profession. Demonstrates genuine interest in artificial intelligence and its impact on the practice of law, with a commitment to staying current on emerging tools, trends, and developments.
