Position Summary

The Assistant Director of Dual Credit Academy provides high-volume administrative coordination, partner service, and outreach in support of McMurry University’s Dual Credit Academy (DCA). Reporting to the Director of Dual Credit Academy, this position helps ensure that prospective and current partner institutions, students, families, and school personnel receive timely, accurate, and responsive service throughout the admissions, registration, onboarding, and enrollment lifecycle.

The Assistant Director maintains reliable student and institutional records; manages timely responses to inquiries; assists with invoicing and collections; and represents the DCA through school visits, parent information nights, partner meetings, and recruitment events. The position works closely with the Director, University Registrar, Enrollment team, Business Office, Information Technology, and academic partners to support the DCA program and students. This job requires regular travel and the ability to build trusted relationships with school administrators, counselors, students, and families.

Administrative Operations and Student Support — 60%

Maintain accurate, complete, and current DCA student, applicant, enrollment, registration, and partner-school records in the institution’s designated systems.

Support the dual credit admissions and approval process by reviewing submitted materials for completeness, communicating next steps, and escalating exceptions or policy questions to the Director.

Assist with term-based enrollment and registration processes, including roster verification, enrollment updates, deadline tracking, and coordination with the University Registrar and relevant campus partners.

Manage and respond promptly and professionally to incoming inquiries and service requests received through the DCA inbox. Route complex, urgent, or policy-sensitive matters to the appropriate campus office or the Director.

Coordinate administrative follow-up with students, parents, counselors, and partner-school personnel to resolve routine admission, registration, account-access, and program-process questions.

Assist with student account and login support by communicating known procedures, coordinating with Information Technology, and tracking unresolved issues through resolution.

Support DCA invoicing and collections activities by preparing or verifying information for district invoices, monitoring follow-up needs, maintaining related records, and coordinating with the Business Office and Director.

Develop, maintain, and distribute routine process guides, onboarding materials, communication templates, and other resources that improve service consistency and reduce administrative friction.

Partner Outreach, Recruitment, and Support — 30%

Conduct general interest and discovery calls with prospective independent school districts, private schools, and other potential DCA partners as needed or with the Director.

Assist the Director in cultivating potential ISD and school partnerships through consistent, relationship-based outreach, needs discovery, and responsive follow-up.

Travel to current and prospective DCA partner schools to build trust, strengthen communication, support enrollment growth, and identify service or training needs.

Represent McMurry University and the DCA at high-school visits, counselor meetings, parent information nights, exhibit booths, sponsorship opportunities, and other recruitment or partner-engagement events.

Support school-based enrollment outreach by helping school personnel understand DCA processes, timelines, requirements, and student support resources.

Maintain a well-organized record of prospect, partner, and outreach activity in the designated CRM or tracking system, ensuring appropriate handoff and visibility for the Director.

Identify recurring partner questions, operational barriers, and opportunities for improved service or enrollment growth, and communicate observations and recommendations to the Director.

Partner Onboarding and Program Communications — 10%

Assist with the onboarding of new DCA partner institutions by coordinating introductory meetings, providing required materials, tracking completion of operational milestones, and supporting routine training.

Conduct onboarding and general interest calls for prospective and newly approved partner institutions under the direction of the Director.

Coordinate distribution of partner marketing kits, informational materials, and timely program communications to school administrators, counselors, students, and families.

Support DCA webinars, presentations, campus visit opportunities, and communications that encourage awareness of dual credit pathways and continued enrollment at McMurry University.

Collaborate with the Director and relevant campus partners to ensure that communications and resources are accurate, current, accessible, and aligned with McMurry University policies.

Required Qualifications

Bachelor’s degree from an accredited institution.

At least two years of progressively responsible experience in higher education, dual credit, K–12 education, enrollment management, student services, account management, admissions, or a closely related area.

Demonstrated ability to manage detailed, high-volume administrative work accurately while meeting recurring deadlines.

Strong written, verbal, interpersonal, and customer-service communication skills, including the ability to communicate effectively with students, families, counselors, school administrators, and campus colleagues.

Ability to work independently in a remote

environment; organize competing priorities; protect confidential student and institutional information; and exercise sound judgment when escalating issues.

Willingness and ability to travel regularly to partner schools, high schools, and recruitment or program events; occasional evening work is expected for parent nights and similar events.

Proficiency with standard office productivity tools, including spreadsheets, word processing, presentation, and shared-document systems.
