We are seeking an Associate Event Manager to support the planning, coordination, and execution of in-person events, including single- and multi-day programs. Reporting to a senior member of the Events team, this role balances hands-on logistics with growing ownership over vendor management, budgeting, and on-site execution. The ideal candidate brings strong attention to detail, excellent communication skills, and the ability to manage multiple priorities across concurrent events in a fast-paced, deadline-driven environment.
What You'll Do
Collaborate on venue sourcing and manage venue logistics; contribute to contract negotiations and ensure key details are documented
Track assigned portions of event budgets and support cost management, including invoice tracking and vendor reconciliation
Serve as the day-to-day lead for select vendors such as catering, shipping, and AV, and ensure timely delivery of services
Assist in managing hotel room blocks, monitor pickup reports, and adjust allocations as needed
Coordinate AV and technical requirements with senior team members; ensure readiness of presentations, equipment, and speaker needs
Partner with catering teams to develop menus and manage dietary requirements for attendees
Oversee packing, shipping, and delivery of event materials including signage, supplies, and collateral
Maintain event timelines and deliverables in Workfront or other project management tools, providing updates and flagging risks proactively
Use AI tools to accelerate research, draft communications, manage logistics documentation, and support post-event reporting, maintaining accuracy and professionalism in all deliverables
Participate in staffing plans and help manage on-site teams; act as a key point of contact during live events
Support on-site execution including setup, real-time troubleshooting, and teardown
Assist with post-event debriefs by gathering data and feedback to support continuous improvement
What Sets You Apart
1 to 3 years of professional experience in event planning, hospitality, or project coordination
Strong organizational skills and ability to manage multiple priorities across concurrent events and tight deadlines
Excellent written and verbal communication skills with a professional, can-do approach to vendors, clients, and internal teams
Problem-solving mindset with the ability to adapt quickly on-site and work independently in a fast-paced environment
Proficiency with Microsoft Office Suite, Adobe PDF, and Zoom or Microsoft Teams
Familiarity with AI-powered productivity tools (such as Claude, ChatGPT, or Copilot) and a willingness to use them as part of your daily workflow
Experience with project management tools such as Workfront or Asana a plus
Bachelor's degree required
AI Capability Expectation
Candidates should be prepared to discuss how they currently use AI in their event or project coordination work. This includes:
Specific tools in active use and how they support logistics research, vendor communications, timeline management, or post-event documentation
How AI has helped you manage competing deadlines or concurrent events without losing accuracy or quality
How you review and verify AI-assisted output before it reaches a vendor, client, or internal stakeholder
Bonus: examples of AI-assisted workflows that improved your efficiency or follow-through on event logistics
Compensation Range
$55,000 - $60,000 per year, depending on qualifications. Eligible for annual company bonus program or commission incentive based on role. Compensation will depend on factors including educational background, skills, and professional experience.
