Job Description

About the role

Our program delivers low-to-no-cost energy efficiency upgrades to income-qualified households across Oregon. The Program Coordinator is the connector between home energy advisors, contractors, and customers — moving each project from assessment through bid, approval, and scheduling.

A significant share of the customers and contractors in this program communicate in Spanish. You'll work across both languages daily, by email and by phone.

Fluency in English and Spanish is required.

What you'll do

Move projects from assessment to approval. Review home energy assessments and recommendations submitted by home energy advisors, determine which trade allies to request bids from, and review bids as they come in — applying incentives and deciding what moves forward.

Manage the pipeline. Carry a caseload of projects at different stages simultaneously. Bid requests are typically completed within five business days of submission.

Be the point of contact. Communicate outcomes to customers, send documents out for signature, and notify contractors once a project is approved so they can schedule the work. Respond to English- and Spanish-speaking customers and contractors via email on program participation questions.

Keep the data straight. Maintain project trackers in Excel and other program reporting; review reports and spreadsheets for accuracy, completeness, and eligibility.

Flag and resolve what's stuck. Identify roadblocks to project completion and work with the program team to clear them.

Support program improvement. Document customer conversations and feedback, and contribute ideas that improve how the team delivers this work. Occasional participation in community events to raise awareness of the program.

What we're looking for

Required

Fluency in English and Spanish, spoken and written

2+ years coordinating projects, cases, or customer-facing services — nonprofit work, residential contracting, healthcare, community organizing, or similar

Comfortable managing a high volume of detail across spreadsheets and email without losing accuracy

Strong written communication — you'll be documenting decisions and explaining next steps to people who aren't in the industry

Able to work independently once trained, and to manage competing deadlines without things slipping

Helpful, but not required to apply

Background in energy efficiency, weatherization, or construction project management

Experience with incentive or rebate programs

Familiarity with CRM or project-tracking systems beyond Excel

Compensation and logistics

Starting salary: $50,000 – $56,000, including the bilingual requirement.

Where you'll work: This is a remote role. Candidates must reside in Oregon or Southwest Washington. Expect quarterly in-person gatherings in the Portland area, up to 10% travel overall.

Any offered salary is determined based on internal equity, internal salary ranges, market data/ranges, applicant’s skills and prior relevant experience, certain degrees and certifications (e.g. JD/technology), for example.
